Hiring Range: +/-$24.19/ hour, Depending on Qualifications
Range of the Position/ Grade: $24.19 - $43.99 / hour | Grade 145
FLSA Status: Non – exempt | Part-time
Schedule: Hours of work are normally Monday through Friday between the hours of 7am – 4:30pm with a mutually agreed upon schedule to not exceed more than 30 hours per week.

Join Our Team as a Part-Time Accounts Payable Specialist! This dynamic role is perfect for a detail-oriented professional who enjoys balancing financial accuracy with exceptional customer service. You'll manage accounts payable/receivable, purchase orders, and financial records for the Fire Department while serving as a key resource for vendors, Village staff, and the public through reception and administrative support.
Essential duties and responsibilities include, but are not limited to, the following:
- Enters accounts payable invoices into accounting system for the processing and payment of invoices in an accurate and timely manner.
- Reviews all invoices for appropriate documentation and approval prior to payment.
- Processes payments according to the established Village accounting procedures.
- Communicates with vendors and answers vendor inquiries accurately.
- Creates and enters purchase orders into the accounting system.
- Reviews submitted documentation for compliance with the Village’s purchasing policy.
- Enters payments received and posts payments accurately into the accounting system.
- Reconciles and reimburses petty cash.
- Maintains Fire Department internal budget spreadsheet weekly throughout the year and reconciles accounts at fiscal year-end.
- Provides support during the annual Fire Department budget creation process and provides continued support throughout the fiscal year.
- Acts as a back up to the front desk by providing phone support, answering telephone and in person inquires from the public, assisting with visitor reception, and assists with event coordination.
- Assists with reconciling ambulance billing accounts and payments.
- Maintains proficiency in applicable Village and Department software applications.
- Operates general office equipment, e.g. computer, scanner, fax, phones system, etc.
- Assists at public education events such as, Fire Department Open House, Northbrook Days, etc.
- Completes Village and Department training as assigned in a timely manner.
- Other duties as assigned.
Requirements
Education and Experience
- Must possess a high school diploma or GED
- Requires two years of accounts payable/receivable or other financial experience. Prefers an associate’s degree in accounting or related field. A combination of education and experience is acceptable.

- Strong organizational, time management, and multitasking skills with the ability to prioritize competing responsibilities and meet deadlines.
- Exceptional attention to detail, accuracy, and analytical skills, with the ability to problem-solve and work independently.
- Excellent written and verbal communication skills, including the ability to provide professional customer service and build positive working relationships.
- Proficiency in Microsoft Office (Word, Excel, and Outlook) and the ability to learn new software and technology platforms.
- High level of professionalism, integrity, confidentiality, and commitment to safeguarding sensitive information.
