Job OverviewThe Executive Assistant to the CEO provides comprehensive support, including calendar management, logistics coordination, and acting as the primary liaison between the CEO, internal staff, and external constituencies. The role requires proactive problem‑solving, discretion, and the ability to work independently under pressure.
Job Responsibilities- Manage the CEO’s calendar, prioritizing inquiries and rescheduling when necessary.
- Arrange and handle all logistics for meetings and events, including drafting agendas, compiling presentation materials, and recording minutes.
- Plan domestic and international travel, assemble itineraries, and prepare travel packets.
- Assist with special projects, design and produce complex documents, reports, and presentations, and maintain contact lists.
- Act as the primary point of contact for all CEO matters, exercising judgment and reflecting the CEO’s style and organization policy.
- Coordinate the CEO’s outreach activities and cultivate ongoing relationships with stakeholders.
- Manage hardware, software, desktop support, and internal telecommunications for the CEO office.
- 10+ years of experience as an executive assistant to a C‑suite in financial services or a family office.
- Bachelor’s degree required.
- Expert proficiency with Microsoft Office and desktop publishing; ability to design and edit graphic presentations.
- Technical proficiency in IT infrastructure, support troubleshooting, and cloud‑based environments.
- Strong verbal and written communication skills.
- Exceptional organizational ability and attention to detail.
- High level of professionalism with diverse stakeholders, including board members and senior executives.
- Strong judgment, discretion, and integrity for handling confidential information.
- Ability to manage a high volume of tasks with little guidance and respond swiftly to urgent situations.
- Availability to work outside of standard business hours as needed.
The role thrives in a dynamic, entrepreneurial setting, requiring adaptability, initiative, and the ability to maintain poise under pressure. Interactions with internal and external stakeholders are conducted with courtesy and professionalism.
Benefits and CompensationAnnual base salary: $100,000–$110,000 (geography dependent). Compensation includes cash bonuses, long‑term incentives, health, accident, and life insurance, as well as retirement benefits.
