Position: Part-Time Administrative Assistant - St. Norbert School - Vic. I

The Archdiocese of Chicago Catholic schools serve more than 40,000 students in 154 elementary and high schools in Cook and Lake counties. It is one of the largest private school systems in the United States. Its schools have received 96 Blue Ribbon awards from the U.S. Department of Education over the past 10 years.

St. Norbert School is seeking a highly organized, detail-oriented, and collaborative Administrative Assistant to support the principal and assist with the daily operations of the school. This individual will play a key role in managing administrative systems, coordinating logistics, supporting faculty and families, and ensuring the smooth functioning of school operations.

The ideal candidate is proactive, dependable, and able to balance multiple responsibilities while maintaining confidentiality and professionalism. While primarily serving in a behind-the-scenes operational role, this individual will also provide front‑office support when needed.

Primary Responsibilities Administrative and Operational Support
  • Work closely with the principal to support the daily operations of the school.
  • Assist with planning, organizing, and implementing school initiatives, events, and programs when needed.
  • Prepare report cards, reports, forms, and other school documents.
  • Maintain organized records and administrative systems.
  • Support faculty meetings, professional development, and school‑wide events.
Student Information and School Systems
  • Manage and maintain student information within Power School and other school platforms.
  • Assist with student scheduling, attendance records, report cards, enrollment, and data management.
  • Generate reports and ensure the accuracy of student records.
  • Support grading and reporting processes throughout the school year.
Enrollment, Registration, and Tuition Support
  • Assist families with registration and enrollment processes.
  • Support tuition management and related record‑keeping.
  • Coordinate registration materials and maintain enrollment documentation.
  • Work collaboratively with school leadership and business office personnel regarding student records and family accounts.
Scheduling and Staffing
  • Assist with school scheduling and calendar management.
  • Coordinate field‑trip logistics, transportation, permissions, and related documentation.
  • Help secure substitute teachers and maintain substitute coverage records.
  • Assist with supervision schedules and other staffing needs.
Purchasing and Resource Management
  • Coordinate classroom supply requests and purchasing.
  • Place and track orders for instructional materials, technology, and office supplies.
  • Maintain inventory and assist with budget monitoring for supplies and resources.
Faculty and Family Support
  • Serve as a resource for faculty regarding administrative processes and school systems.
  • Assist with onboarding new staff members.
  • Support communication with families regarding school programs, registration, and operational needs.
  • Provide front desk coverage and office support as needed.
Qualifications
  • Strong organizational, communication, and problem‑solving skills.
  • Ability to manage multiple projects and deadlines simultaneously.
  • Proficiency with Google Workspace, Microsoft Office, and educational technology platforms.
  • Ability to learn and effectively utilize Power School and other school management systems.
  • Strong attention to detail and commitment to confidentiality.
  • Previous administrative, office management, or school‑based experience preferred.
Preferred Qualities
  • Experience working in a school environment.
  • Familiarity with Power School or similar educational platforms.
  • Strong interpersonal skills and a customer‑service mindset.
  • Ability to work independently while collaborating effectively with administration, faculty, and families.
  • Commitment to the mission and values of St. Norbert School.

This position has an hourly range of $25.00-$30.00. An employee’s pay within the hourly range will be based on many factors including but not limited to relevant education, qualifications, experience, skills, geographic location, and organizational needs.
