Hiring Range: +/- $65,985 - $69,000, Depending on qualifications and experience.
Range of the Position/ Grade: $65,985–$102,827 | Grade 245
FLSA Status: Non-exempt - Full-time

The Village of Northbrook is seeking a detail-oriented Records Clerk to accurately compile, update, and maintain essential records for the Police Department. This position will play a key role in managing FOIA requests and serving as a primary point of contact for requestors. This position also assists in facilitating effective communication with the public to support citizen satisfaction and positive community relations.
Key ResponsibilitiesPrimary Responsibilities
- Managing and processing Freedom of Information Act (FOIA) requests, including reviewing, compiling, and preparing records responsive to FOIA requests (including body-worn camera footage).
- Providing records and copies of documents to department personnel, members of the public, insurance companies, and other authorized parties in compliance with FOIA requirements.
- Receiving, tracking, and distributing incoming mail, emails, and other correspondence related to FOIA requests.
- Uploading, organizing, and maintaining digital media files within department databases and record systems.
Additional Responsibilities
The duties below are performed on a less frequent basis:
- Maintain accurate paper and electronic records, including police reports, citations, arrest records, and related documentation.
- Perform data entry and update information within the department's Records Management System (RMS).
- Assist the public in person and by telephone by answering questions, providing information, or directing inquiries to appropriate personnel.
- Organize, maintain, and manage departmental filing systems and records archives.
- Conduct searches of individuals in custody in accordance with department policies and procedures.
- Support administrative and records-related functions as assigned.
Must haves for the ideal candidate include:
License(s) and/or Certification(s)
- Must possess a valid State of Illinois Class D drivers' license.
- Must possess or be able to obtain LEADS Specialized Agency Inquiry Certification.
Education and Experience
- Must possess a high school diploma or equivalent.
- A minimum of 2-3 years’ experience in Freedom of Information Act (FOIA) work is preferred.
