Portable Programs Coordinator OverviewAs a Portable Programs Coordinator, you will join our Logistics team and manage client inventory, enter and track jobs, and place transportation orders. You will also review and reconcile credit card statements for your assigned clients. The role requires residing in the Northbrook area office with the team and handling many facets to best accommodate Derse and our clients in the growing world of trade shows and experiential marketing.
Responsibilities- Understand individual client program pricing and work scope per program quoted by estimating.
- Immediately bring any related job variances to the Logistics Manager’s attention.
- Create and enter Job Numbers into Accelerate from the Customer Portal or other sources.
- Update the Accelerate database including inventory management.
- Charge labor promptly to Job Numbers based on Portable Programs Service Provider Template.
- Enter events into the Portable Program Calendar for divisional viewing.
- Prepare show service orders when necessary and generate POs.
- Place transportation orders, generate POs, and add POs to the transportation interface reference line.
- Place I&D orders when necessary and generate POs.
- Manage damage claims.
- Perform quality control prior to shipping.
- Reconcile credit card charges in Certify regularly.
- Review vendor invoices for accuracy and either approve or reject them; if rejected, follow up with the vendor.
- Close out jobs and submit to Admin for timely billing.
- Use the preferred vendor program for Show Services, I&D, and Transportation.
- Back up other Logistics personnel as needed and directed.
- Bachelor’s Degree or Associate’s Degree plus one or more years of relevant experience.
- Previous trade show or face-to-face marketing experience preferred.
- Ability to work with minimal supervision based upon experience or knowledge.
- Relationship-focused, self‑motivated, high sense of urgency, and process oriented.
- Salary Range: $50,000.00 to $58,000.00 annually ($24.04 to $27.88 per hour).
- Position Status:
Salaried, Non‑Exempt; eligible for overtime earnings. - Benefits include medical (HRA & HSA), dental & vision insurance, FSA, employer‑paid life insurance, 401(k), profit sharing, 3 weeks of vacation, and more.
