The Sales Coordinator is the operational backbone of Amplify HR Management's sales organization. This role ensures the sales team can focus on revenue-generating activity by owning the day-to-day administrative, quoting, and vendor communication functions that keep the pipeline moving. The Sales Coordinator serves as the central point of coordination between sales representatives, carriers, brokers, and internal teams, delivering accurate quotes, timely benefit comparisons, clean documentation, and a well-maintained CRM.
CoreResponsibilities Sales Quoting & Benefits Comparisons
- Run quotes through quoting software on behalf of the sales team, delivering accurate and timely output for prospect and client conversations
- Generate benefit plan comparisons and create client-ready analysis documents
- Maintain pricing templates and ensure competitive positioning across proposal materials
- Research and obtain quotes from alternative carriers, including ICHRA options
- Prepare comparison analyses to support clients exploring non-traditional benefit structures
- Serve as primary liaison with carriers and vendors for all day-to-day correspondence
- Review documents, obtain quotes, and manage ongoing vendor relationships
- Prepare and submit workers' compensation applications and gather required documentation
- Track submission status and follow up on pending quotes and carrier responses
- Maintain Salesforce data integrity, including opportunity stage updates and pipeline accuracy
- Generate reports and dashboards to support forecasting and performance reviews
- Handle general administrative support including scheduling, presentations, and internal coordination
- Prepare agendas, compile performance metrics, and document action items for sales team meetings
- Coordinate sales team recognition programs, track achievements, and administer incentive programs
- Assist in document collection from prospects and clients, maintaining organized and up-to-date filing
- Maintain sales folders by downloading quotes, proposals, and carrier correspondence and keeping all files current and properly organized
- Draft and prepare contracts and agreements; coordinate the signature process
- Ensure accuracy of terms and conditions and compliance requirements are met
- Manage PEO Spectrum quotes and submissions as a dedicated liaison to the PEO Spectrum team
- Maintain and coordinate the proposal calendar and ensure timely delivery of PEO proposals
- Provide bandwidth support that enables sales leadership to focus on team development and growth
- Convert and normalize broker census data using AI-assisted workflows and internal tools
- Ensure data accuracy and consistent formatting for use in quoting and comparison workflows
- Maintain and improve census processing procedures in coordination with sales leadership
- Take on special projects as needed and as assigned by sales leadership
- 2+ years of experience in sales support, benefits administration, or insurance coordination
- Proficiency in CRM platforms, particularly Salesforce
- Strong command of Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Excellent written and verbal communication skills
- High attention to detail and the ability to manage multiple priorities in a fast-paced environment
- Ability to build and maintain professional relationships with carriers, vendors, and clients
- Experience with Perfect Quote or comparable benefits quoting software
- Familiarity with PEO operations, co-employment structures, or group health insurance
- Exposure to workers' compensation submissions and carrier correspondence
- Experience with AI productivity tools and comfort in adopting new technology
- Knowledge of ICHRA, HRA, and ACA compliance concepts

Physical Requirements
This position operates primarily in a hybrid environment with three days in our Northbrook office (M/T/Th). The role requires prolonged periods of computer use and the ability to communicate clearly by phone and video conference. Occasional travel to carrier or client meetings may be required.
