Dance/Theatre Coordinator
The Dance/Theatre Coordinator is a part time position that provides administrative, operational, and organizational support to the Cultural Arts Supervisor. This position serves as a liaison between families, instructors, and staff while assisting with program planning, scheduling, office management, and special projects. This position requires flexibility to work evenings and weekends based on program needs, performances, rehearsals, and special events.
QUALIFICATIONSAt least two years of work experience in the field of recreation, dance, and theatre along with previous administrative, office management, or program coordination.
IMMEDIATE SUPERVISORThe Dance/Theatre Coordinator reports to the Oak View Cultural Arts Supervisor.
ESSENTIAL FUNCTIONS- Coordinate and maintain dance/theatre class schedules, rehearsals, events, and room assignments.
- Monitor facility availability to maximize space utilization
- Assist with planning, coordination, set up/breakdown of performances, recitals, auditions, camps, and special events.
- Maintain accurate program records, rosters, attendance, and participation information.
- Assist with meetings, maintain calendars, and assist scheduling appointments.
- Assist with registration support and program logistics.
- Coordinate dance/theatre costume returns and dry cleaning.
- Create playbills, design and coordinate ads, and produce cast videos for all theatre productions.
- House management for all productions.
- Planning and preparation of all auditions for dance and theatre, preparation of audition forms, managing audition registration and sign in table.
- Must maintain reliable transportation.
- Other duties as assigned.
- Serve as alternate point of contact for instructors and patrons.
- Respond to phone calls, emails, and in-person inquiries in a professional and timely manner.
- Communicate schedules, program updates, deadlines, and important information to families and teaching staff.
- Assist in preparing newsletters, informational packets, and other program communications.
- Foster positive communication and collaboration among staff.
- Support teaching staff by distributing schedules, materials, and program information.
- Must be able to work closely with co-workers and work well with the public.
- Support departmental initiatives, marketing efforts, and community engagement activities.
- Strong attention to detail and organizational ability
- Excellent problem solving and critical-thinking skills
- Ability to maintain confidentiality and professionalism
- Ability to manage changing priorities in a fast‑paced environment and prioritize multiple projects while meeting deadlines.
- Proficiency with Microsoft Office, Canva, Google Workspace/Drive, Excel, and database software
- Recommended CPR/First Aid
