Facilities Maintenance Coordinator (Construction Experience)

United Talent Staffing is seeking an experienced Facilities Coordinator (Contractor) to support facility operations across multiple locations. This position will play an important role in identifying and addressing facility issues, coordinating repairs and maintenance, and organizing subcontractors and vendors to complete work safely and efficiently. The ideal candidate will have previous experience in facilities, construction, building maintenance, property management, or a related field and be comfortable working with contractors, maintenance professionals, and site leadership.

This is a hands-on coordination role that requires someone who can assess facility needs, communicate effectively with subcontractors, track projects through completion, and manage multiple priorities across several locations.

Duties & Responsibilities

  • Coordinate day-to-day facility operations, maintenance, repairs, and improvement projects across multiple locations.
  • Receive, prioritize, and track facility-related issues, work orders, maintenance requests, and repairs through completion.
  • Coordinate and schedule subcontractors, construction professionals, maintenance vendors, and service providers for facility-related projects and repairs.
  • Monitor subcontractor and vendor work to help ensure projects are completed safely, correctly, on schedule, and according to established requirements.
  • Conduct routine facility assessments and inspections to identify building maintenance, repair, safety, and operational concerns.
  • Assist with coordinating facility improvement and minor construction projects, renovations, repairs, and preventive maintenance.
  • Serve as a primary liaison between employees, site leadership, landlords, contractors, subcontractors, and third-party vendors regarding facility needs.
  • Obtain and review quotes, proposals, invoices, service agreements, and other facility-related documentation.
  • Track project status, open work orders, repair schedules, vendor activity, and outstanding facility issues.
  • Coordinate emergency and time-sensitive facility repairs as needed.
  • Maintain facility records, equipment inventories, service agreements, floor plans, maintenance documentation, and compliance records.
  • Assist with tracking facility expenses, purchase orders, invoices, and service contracts.
  • Support space planning, office moves, furniture installation, and workplace improvement initiatives.
  • Help ensure facilities comply with applicable workplace safety requirements, company policies, and operational standards.
  • Provide regular updates regarding facility projects, maintenance activities, contractor performance, and outstanding work.

Required Skills & Abilities

  • Previous experience in facilities coordination, construction, building maintenance, property management, or a related environment strongly preferred.
  • General understanding of construction, building maintenance, repairs, and facility systems.
  • Experience coordinating subcontractors, vendors, maintenance personnel, or construction-related projects.
  • Ability to communicate effectively with contractors and understand basic project scopes, timelines, and repair requirements.
  • Strong project coordination and organizational skills.
  • Ability to manage multiple facility issues and projects across several locations simultaneously.
  • Strong problem-solving skills with the ability to identify issues and coordinate appropriate solutions.
  • Ability to review quotes, contracts, invoices, work orders, and facility-related documentation.
  • Strong customer service and communication skills.
  • Excellent attention to detail and commitment to workplace safety.
  • Ability to work independently while collaborating with site leadership, vendors, and cross-functional teams.
  • Proficiency with Microsoft Office Suite, including Excel, Outlook, Word, and Teams.
  • Experience with work order management or computerized maintenance management systems (CMMS) preferred.
  • Dependable personal vehicle required due to travel responsibilities; mileage will be reimbursed.
