We are hiring for a key position on our Operations Team - the Administrative Coordinator for Logistics and Publications Support will play an important role in the delivery of materials for our association partners. This is a role well-suited for someone who has administrative skills and a willingness to be a great team player for the office team that supports our clients.
This role is an in-office role and the job duties do not allow for remote work.
Main responsibilities of this position include but are not limited to the following:
- Managing print jobs on various machines (copier, booklet maker, envelope printer)
- Packing meeting supplies, inventory and reporting
- Pulling meeting material from IMIS
- Schedule meeting boxes pickup
- Inventory and ordering supplies
- Filing accounting and bank statements
- Metering mail for dues and other outgoing mailings
- Bulk mail drop off to post office and billing
- Cover for reception, office support where needed
- Support for Dues processing, registration processing and maintenance
- Organize and purge client shelves/general maintenance of back room
- Other administrative and support duties as assigned
- Strong service orientation with highly developed interpersonal skills. Affinity for networking, and demonstrate high level of confidence
- Ability to operate machinery and troubleshooting as necessary
- Ability to work well independently; self-starter
- Clear and concise communications; strong verbal and writing skills
- Detail-oriented and conscientious of timelines and deadlines
- Ability to assess and articulate ways to improve processes and programs
- Ability to complete multiple tasks within set deadlines, accurately and on time
- Ability to remain flexible and work well with others in a fast-paced, dynamic environment
- Ability to lift and transport heavy materials (up to 50 lbs)
- Problem-solving abilities to support staff and clients
QUALIFICATIONS
- Previous general office administration experience
- Computer skills including Microsoft Office (Outlook and Excel, PowerPoint, etc.)
- Willingness to learn new tasks/duties; finding creative solutions and utilizing available resources to learn new tasks effectively
