Job DescriptionXtreme Solutions Inc. (XSI) is seeking a responsible professional Administrative Assistant to join our team. The ideal person for the job will be a problem solver with excellent communication skills and impeccable attention to detail. The ability to multitask, manage complex schedules, and meet changing deadlines is essential to the position.
Roles and Responsibilities- Provide direct administrative support to senior leaders, including email and spreadsheets.
- Plan, organize, schedule meetings, and make travel arrangements.
- Manage calendar scheduling, correspondence, and set up Microsoft Teams meetings.
- Exhibit polite and professional communication via phone, e‑mail, and face to face.
- Submit and reconcile expense reports and prepare and monitor invoices.
- Carry out administrative duties such as filing, typing, copying, binding, scanning, etc.
- Review and maintain written and computer files, and conduct data entry.
- Assist in the preparation of regularly scheduled reports.
- Assist in the coordination and implementation of special projects, meetings, and training.
- Process improvement, research results, informing others, thoroughness, and analytical skills.
- Excellent time management skills and the ability to multi‑task and prioritize work.
- Attention to detail and problem‑solving skills.
- Excellent written and verbal communication skills with the ability to interact with others.

- Bachelor’s Degree or Associate’s Degree (Preferred).
- Three (3) years of Microsoft Office Suite experience.
- Two (2) – Five (5) years of related office experience or business acumen knowledge.
- Knowledge of office management systems and procedures.
Lifting, bending, stretching, and walking as needed. Heavy use of computers and related equipment, and telephones. Ability to lift at least 30 lbs. infrequently. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
