The Reaching Across Illinois Library System (RAILS) has a current opening for a Temporary Cataloging Services Assistant. This position is temporary and grant‑funded through June 30, 2027, with the possibility of renewal if continued funding is approved. The Cataloging Services Assistant will provide assistance with original and complex copy cataloging across multiple languages and formats of library materials on behalf of Illinois libraries.
This individual will collaborate closely with RAILS staff, vendors, and cataloging personnel from Illinois libraries to establish and maintain workflows for RAILS’ World Language Cataloging Services program. This work involves handling various tasks related to operating our World Language Cataloging Service, including receiving requests, scanning materials, and communicating with vendors.
- Apply established cataloging standards and guidelines such as AACR2, RDA, MARC
21, and Library of Congress Classification and Subject Headings. - Assist with special cataloging projects for the RAILS World Language Cataloging Services Program.
- Receive, log, and track cataloging requests from libraries, organizing items by language, format, and subject using Excel.
- Verify MARC records, determine cataloging needs, and perform appropriate cataloging tasks for received items.
- Scan and transfer physical items for outsourced cataloging, coordinate with the vendor as necessary, and conduct quality checks on bibliographic records to ensure adherence to national standards.
- Maintain clear communication with libraries and the vendor regarding cataloging requests, timelines, and documentation of activities and outcomes.
- Compile and maintain data on cataloging requests and processed items and contribute to the preparation of reports.
- Assist with modifying cataloging profiles and updating records, either manually or in bulk, as needed for the World Language Cataloging Services Program.
- Contribute to the development and implementation of cataloging procedures to improve efficiency and accuracy.
- Communicate effectively with colleagues and RAILS staff to address cataloging‑related inquiries promptly.
- Basic knowledge of OCLC Connexion for cataloging.
- Experience using cataloging and classification tools and software, including Web Dewey, LC Classification, and cataloging utilities. If no direct experience, training will be provided.
- Demonstrate willingness to learn and effectively use new skills and technologies related to cataloging.
- Familiar with using Microsoft Excel for tracking and reporting.
- Fluency in multiple languages is a plus.
- Commitment to upholding professional ethics and standards in library cataloging practices.
- Excellent interpersonal, organizational, analytical, written, and oral communication skills.
- Excellent organizational skills and attention to detail.
- Ability to work independently and collaboratively in a fast‑paced environment.

- Ability to communicate in person, via phone, videoconferencing, and email.
Physical Requirements
- The position will be based in the RAILS office in Burr Ridge.
- Work takes place in a typical office environment and/or remote work setting. Must be willing to work in‑office at least one day per week.
- Primarily sedentary work but also requires some physical activities such as kneeling, reaching, pushing and/or pulling, grasping, lifting, and carrying light to moderate weight items.
