Field Support Specialist (On Call)

Reports To

The Field Support Specialist will report to the Client Services Supervisor, Client Services Manager, Human Resources, or equivalent leadership.

Job Overview

The Field Support Specialist/Mailroom Specialist provides exceptional office and mail services in a floating capacity for positions where regular employees are out of office or specific projects require extra coverage. The role involves mail, reception, hospitality, facilities and copy/print services. This position is based at a client home office and may be deployed to other client sites on short notice. Flexibility and adaptability are key.

Duties

and Responsibilities
  • Provides high‑quality customer service to all employees.
  • Answers all calls and offers an exceptional experience for visitors.
  • Assists with light facilities duties, including troubleshooting ticket creation and supply ordering.
  • Receives, sorts and processes inbound mail and packages, and enters data into chain‑of‑custody software.
  • Manages outgoing mail and package transactions.
  • Performs duties related to shipping and receiving of materials.
  • Notifies employees of inbound deliveries.
  • Distributes mail and packages to personnel.
  • Assists with office moves and copy/print orders.
  • Helps set up and take down conference rooms for meetings and events.
  • Seeks additional work during downtime.
  • Builds professional relationships with customers and teams.
  • Maintains professionalism and composure when interacting with all employees.
  • Trains backup staff and provides guidance on policies and procedures.
  • Determines support needed for sensitive inquiries.
  • Provides reception or concierge coverage as needed.
  • Uses strong verbal and written communication skills.
  • Handles multiple tasks simultaneously.
  • Maintains good organizational skills.
  • Works knowledgeably with MFD equipment.
  • Applies shipping/receiving knowledge and follows instructions.
  • Works independently and completes projects.
  • Validates packing slips and selects appropriate packing materials.
  • Works a flexible schedule and hours.
Qualifications and Education Requirements
  • High School Diploma (or equivalent) required.
  • At least 6 months prior work experience preferred.
  • Ability to work assigned hours as determined by management.
  • Excellent organizational and time‑management skills.
  • Analytical and problem‑solving abilities.
  • Excellent written and verbal communication skills.
  • Ability to learn computer‑based systems required for the role.
  • Maintains a professional appearance and attitude.
  • Adheres to all policies and procedures.
Physical Demands
  • Approximately 50% of the time this position requires the following physical demands.
  • Fine and/or gross motor skills, including grasping, lifting, or carrying packages on a cart (up to 60 lb).
  • Ability to walk, bend, kneel, stand or sit for extended periods.
  • Manual dexterity required for operating office machinery.
  • Ability to lift or move 40 lb or more frequently.
Travel and Movement

Daily travel between client sites is required and may be a plus for candidates who prefer mobility over a stationary schedule.

Compensation

Pay Range: $17 – $20 USD per hour.
