Common Services Assistant (CSA)
Provides administrative support across finance, human resources, material management, procurement, contracting, property, and facilities management.
Responsibilities- Schedule meetings, coordinate travel, and organize events.
- Prepare, review, and process documents, correspondence, and reports.
- Maintain records, databases, and filing systems.
- Assist with financial processes, including tracking expenditures and processing invoices.
- Liaise with internal and external stakeholders and respond to routine inquiries.
- Support procurement, contracting, or program‑related activities.
- Conduct basic research and compile information.
- Coordinate logistics for visits, meetings, and events.
- Provide general office support and contribute to team operations.
A college diploma, post‑secondary technical or professional certification from a recognized institution attesting to a minimum of two (2) years of full‑time studies, or higher, or an acceptable combination of education, training and relevant work experience (minimum of two (2) years of relevant work experience).
LanguageAdvanced proficiency in English (reading, writing, comprehension and speaking).
Experience- Minimum of two (2) years cumulative experience providing administrative or operational support services in an office environment, including coordinating tasks such as scheduling meetings, organizing travel and supporting events.
- Experience preparing and reviewing documents, correspondence or reports and maintaining records, databases or filing systems.
- Good working knowledge of Microsoft 365 applications (Word, Excel, Outlook).
- French language proficiency.
- Experience with financial processes such as invoice processing, budgeting or expense tracking.
- Experience organizing events, visits or stakeholder engagements.
- Normal working hours: 37.5 hours per week, in accordance with locally‑engaged staff regulations.
- Willingness to work overtime on short notice.
- Limited occasional domestic and/or international travel may be required.
- Work performed on‑site with limited flexibility for hybrid remote work.
- Valid work authorization covering the entire employment period.
- Reliability status security screening, including a criminal and credit background check by the Government of Canada.
