Coordinator of Visitor Experience
Oglethorpe University, a premier liberal arts institution in Atlanta, GA, is seeking an organized, service-oriented, and collaborative individual to serve as the Coordinator of Visitor Experience with in the Office of Admission. Reporting to the Assistant Director of Enrollment Events and Communications, the Coordinator serves as the primary point of contact for campus visitors, playing an integral role in supporting communication efforts, organizing admission events, and leading the Student Ambassador Program.
Primary Duties and Responsibilities
- Communications
- Respond to phone and email inquiries in a timely and effective manner
- Assist with edits to and distribution of print and electronic messages
- Timely execution of mailings, including but not limited to decision letters and deposit packages
- Campus Visits
- Coordinate communication before, during, and after campus visits
- Serve as the primary point of contact for campus visitors
- Manage systems and processes related to daily campus visits using the CRM Slate
- Maintain a regular schedule of visit opportunities for prospective students and their supporters
- Serve on the Enrollment Events Team, which is responsible for the planning and execution of large-scale prospective and admitted student programs
- Student Ambassadors
- Recruit, train, and supervise a diverse group of approximately 10 Student Ambassadors (admission tour guides), ensuring a high level of professionalism and service-orientation
- Coordinate Ambassadors' participation during daily visits and other admission events
- Manage budget for Student Ambassadors
- Other work-related duties as assigned
Qualifications
- Bachelor's degree from an accredited institution required, related experience preferred
- Exemplary customer service and organizational skills
- Strong verbal, written, and digital communication skills
- Able to collaborate effectively with internal and cross-departmental stakeholders
- Ability to problem-solve and make independent decisions amid competing priorities
- Demonstrated commitment to Oglethorpe University's mission and values
- Ability to maintain confidentiality and work with sensitive information
- Ability to quickly become proficient using campus student information system & CRM
Additional Information
- This is a full-time, 12-month position.
- Working some evenings and weekends is required.
- Some moderate lifting is required.
- Tasks are generally required to be performed in person, though periodic work from home options may be granted at supervisors' discretion. Oglethorpe University reserves the right to change remote work status with notice to employee.
- Must successfully pass a criminal background check.
