Hi, I’m Julia, the CEO and Founder of Danrie, an online children’s clothing boutique, and mom of two busy kiddos. As you may assume, organization is key within our household. My husband, Phil, and I are looking for a full-time Personal Executive Assistant to split their time supporting our business and household needs.
The ideal candidate is experienced, polished, detail-oriented, resourceful, and calm under pressure. This person should be comfortable managing many moving pieces, anticipating needs, communicating clearly, and representing our family professionally and thoughtfully. We are looking for someone who takes pride in making life easier, more organized, and more seamless behind the scenes.
This is a full-time role based in Chicago and requires a minimum one-year commitment. Candidates must be available between regular business hours Monday-Friday, however there may be times where evening and weekend work will be required. The role is hybrid, with periodic travel as needed.
1.RESPONSIBILITIES INCLUDE:
Calendar, Scheduling & Administrative Support
- Manage and organize personal, family, and professional calendars.
- Schedule, confirm, and adjust appointments, meetings, reservations, and family commitments.
- Help resolve scheduling conflicts and proactively keep the week running smoothly.
- Manage email correspondence for Julia across personal and professional matters, as needed.
- Assist with filing, document organization, paperwork, and general administrative systems.
- Track bills, invoices, returns, and important follow-ups.
- Help manage the organization, maintenance, and day-to-day operations of the family’s homes in Chicago and New York City.
- Coordinate with household staff including: the nanny, housekeeper, and additional sitters.
- Manage ongoing home maintenance projects, vendors, repairs, and household needs.
- Place grocery and household orders, manage household inventory, and ensure the home is well stocked.
- Open packages, check mail, manage returns, and handle daily household logistics.
- Assist with seasonal closet switchovers for Julia and the children.
- Provide packing and unpacking support as needed.
- Coordinate and confirm the children’s activities, appointments, extracurricular schedules, and birthday parties.
- Help manage school-related logistics, family appointments, and activity calendars.
- Coordinate doctor’s appointments for the family and help organize healthcare paperwork and records.
- Support family outings, holidays, and special occasions.
- Plan and arrange personal and work-related travel, including flights, hotels, itineraries, packing lists, transportation, and reservations.
- Coordinate date nights, plays, concerts, sporting events, family outings, and other reservations.
- Help plan and execute dinner parties, small gatherings, and larger family holiday events.
- Coordinate and execute personal, corporate, and family gifting.
- Assist Julia with supporting and owning select professional projects related to Danrie.
- Attend Danrie team meetings virtually, and in-person in the NYC office as needed.
- Help with content creation and light social media coordination for Julia personally and professionally.
- Assist both Phil and Julia with ad hoc professional projects and follow-through as needed.
- Run errands as needed throughout Chicago.
- Provide day-to-day support in the family home, home office, and occasionally other locations.
- Anticipate needs and help keep personal, household, and professional priorities moving forward.
- Based in Chicago.
- Valid driver’s license and comfortable driving in the city.
- Willingness to travel from time to time as needed.
- Minimum 3 years of experience as a personal assistant, executive assistant, family assistant, household manager, or similar role.
- Strong attention to detail and excellent follow-through.
- Highly organized and able to manage multiple priorities at once.
- Clear, polished written and verbal communication skills.
- Strong judgment, discretion, and respect for privacy.
- Proactive, self-starting, and comfortable working independently.
