Job Overview
The Executive Assistant serves as a strategic partner to the Chief of Staff, enabling focus on high‑impact priorities by managing communication, coordination, and execution across leadership initiatives. This role goes beyond traditional administrative support. The Executive Assistant acts as an extension of the Chief of Staff, ensuring that priorities are clearly translated into action, deadlines are met, and cross‑functional initiatives move forward with discipline.
The Executive Assistant will work closely with the Chief of Staff on sensitive and high‑visibility matters across HR, Finance, Operations, Marketing, and executive leadership. This role requires sound judgment, strong business awareness, and the ability to operate with a high degree of discretion and trust. This position reports directly to the Chief of Staff.
- Manage and prioritize the Chief of Staff’s time, ensuring focus is placed on the highest‑impact work.
- Act as a gatekeeper by filtering, redirecting, and prioritizing requests and communications.
- Track key initiatives and ensure deadlines and commitments are met across teams.
- Draft and manage internal and external communications on behalf of the Chief of Staff.
- Own calendar management, resolving conflicts and prioritizing effectively.
- Coordinate meetings, prepare materials, and ensure clear outcomes and follow‑up actions.
- Anticipate needs and proactively address gaps without requiring direction.
- Serve as a central point of coordination across HR, Finance, Marketing, and Operations initiatives.
- Partner with department leads to gather updates, surface risks, and maintain alignment.
- Support execution of company‑wide priorities.
- Support high‑impact projects led by the Chief of Staff, ensuring timelines, stakeholders, and deliverables are clearly managed.
- Identify gaps, bottlenecks, and risks, and proactively elevate or resolve issues.
- Maintain visibility into ongoing initiatives and provide regular status updates.
- Handle highly sensitive information including employee matters, financial data, and leadership discussions with strict confidentiality.
- Exercise strong professional judgment in managing communications and information flow.
- Act as a trusted partner in situations requiring discretion and sound decision‑making.
Skills & Qualifications
- 4–6 years of experience supporting executive leadership.
- Bachelor’s degree required (Business administration or related field).
- Strong organizational and prioritization skills with the ability to manage multiple high‑impact work streams.
- Demonstrated ability to operate with discretion and handle confidential information.
- Strong written and verbal communication skills, with the ability to represent leadership effectively.
- High attention to detail with a bias toward execution and follow‑through.
- Ability to anticipate needs and operate proactively without constant direction.
- Experience working cross‑functionally in a fast‑paced environment.
