Responsibilities
  • Plan and coordinate travel arrangements, including flights, accommodations, and ground transportation, for Disney performers and associated personnel.
  • Prepare and manage travel itineraries, timelines, and related documentation to support the Ability Relations Group.
  • Handle invoicing and cost reporting for travel expenses and related events.
  • Assist with booking local accommodations, transportation, and facilities for special events such as Comic Con, D23, and other public appearances.
  • Support the Vp of the Division and administrative staff by booking travel, preparing detailed agendas, and submitting final cost reports.
  • Prepare and manage items related to hair, cosmetics, and wardrobe styling for performers during events and press appearances.
  • Oversee gift procurement, packaging, and distribution within the approved budget, including managing the division’s credit card and finishing cost reports.
  • Collaborate with external talent agencies, local vendors, and internal Disney teams to ensure seamless event execution.
  • Maintain confidential Disney travel data, uphold strict privacy policies, and safeguard sensitive information.
  • Provide coverage for late shifts or weekend duties to support the exposure team during live shows and public events.
Qualifications
  • Bachelor’s degree or equivalent educational background.
  • Minimum of 2+ years of related experience in media, travel coordination, or event planning.
  • Proficiency with Microsoft Office, SAP, and Google Docs.
  • Strong time‑management skills and ability to handle multiple tasks simultaneously.
  • Excellent communication and relationship‑building skills.
  • Capacity to work under tight deadlines and in a fast‑moving environment.
  • Ability to maintain high confidentiality regarding travel and personal data.
  • Self‑motivated, proactive, and able to work independently or as part of a team.

  • Ability to adapt quickly to changing requirements and unexpected situations.
