Summary / Objectives

It is the responsibility of the Fixed Income Sales Assistant to take ownership of all tasks and challenges encountered in the operation of their assigned position. This role supports fixed income sales staff and their customers to ensure smooth settlement of investment transactions. Key support functions include phone backup, trade execution through the internal trading desk, account services and security settlement coordination.

Essential

Functions
  • Manage daily issues concerning trade activity, market conditions, and customer care.
  • Develop working relationships with trading and operations departments to promote smooth execution and delivery of securities.
  • Identify and implement proper protocol for successful execution of trades.
  • Maintain and encourage means to simplify and streamline the needs of the sales force.
  • Accept responsibility for unassigned duties and provide fast, professional, and accurate information to the sales and trading teams.
  • Research and resolve problems, taking corrective action to ensure smooth operations.
  • Develop and maintain quality professional relationships with customers.
  • Serve as a back‑up for the sales staff when they are unavailable or out of the office.
  • Answer phones, send faxes/scans, make copies, and perform other general office duties.
  • Maintain compliance with MSRB, FINRA, and SEC regulations.
  • Ensure strict adherence to the bank’s policies, procedures, code of conduct, and regulatory guidelines.
Competencies
  • Strong communication skills, with excellent writing and speaking abilities.
  • Proficiency with Microsoft Office (Word, Excel, Outlook) and other departmental software.
  • Efficient computer use and ability to learn new software programs quickly.
  • Good knowledge of business English, spelling, and punctuation.
  • Well‑organized, accurate, and attentive to detail.
  • Cooperative and willing to assist coworkers and customers regularly.
  • Effective listening skills and ability to propose solutions based on others’ input.
  • Excellent multi‑tasking skills and ability to function well under pressure.
  • Remain composed under pressure and respond to customer and coworker concerns consistently.
Qualifications, Education, and Certification Requirements
  • Bachelor’s degree or equivalent work experience.
  • Equivalent work experience in a related field preferred.
  • SIE, Series 7, and Series 63 examinations required or completion within 90 days of hire.
  • Additional finance computer experience such as Bloomberg is beneficial.
  • Strong written and verbal communication skills.
  • Capability to provide fast, professional, and accurate information.
  • Ability to consistently meet service level standards and goals.
  • Ability to manage multiple requests simultaneously.
  • Excellent customer service skills.
Training Requirements / Classes
  • Required annual compliance training.
  • New employee orientation.
  • Obtain or maintain applicable securities licenses (FINRA Series 7, Series 63, SIE).
Physical Demands
  • Effective use of computer screens, documents, and reports.
  • Large amount of time in front of a computer, sitting or standing.
Work Environment

This position is on an open trading floor with an individual workstation. The environment may be noisy throughout the day. Telecommuting roles (hybrid or 100% full‑time) require a secure home office free from background noise and distractions, with a reliable private internet connection.

Travel

Travel may be required to attend meetings as needed.
