Overview

The Patient Services Coordinator delivers a seamless patient experience by combining front-desk administrative duties with financial services and account coordination. Responsibilities include ensuring efficient check-in/check-out, verifying insurance and demographic data, collecting and posting payments, and addressing billing inquiries while maintaining site needs such as supplies, maintenance, cleaning, and receipt of deliveries. The role supports financial integrity and exceptional customer service across Peachtree Orthopedics clinics and helps maintain the appearance of sites.

Essential Duties and Responsibilities
  • The Patient Services Coordinator provides administrative and billing support to patients and staff, including greeting and checking in patients, maintaining waiting room cleanliness, and managing deliveries and visitor screening.
  • Verifies and updates patient insurance and demographic information, obtains referrals when applicable, ensures accurate collection and posting of payments, and schedules follow-up appointments with knowledge of all ancillary services. Processes co-pays, balances, deposits, reconciles daily collections, and prepares courier-ready deposits.
  • Contacts internal resources to assist patients regarding balances, sets up payment plans, and resolves accounts receivable issues.
  • Resolves escalated insurance situations by contacting payers, evaluating plans for acceptance by Peachtree Orthopedics, and determining any patient acknowledgement forms needed. Tasks may be performed on-site or remotely based on business needs.
  • Responsible for daily schedule scrubs and creating a Daily Balance Sheet of needed actions for all patients with next-day appointments, including printing schedules and tracking sheets. Documentation must be thorough, with notations in Quickview, appointment lines, and balance sheets. Maintains up-to-date knowledge of insurance and billing procedures and ensures compliance with HIPAA and internal policies.
  • Other duties as assigned.
Qualifications
  • A high school diploma or GED is required; an Associate degree in Healthcare, Business, or a related field is preferred.
  • Minimum of one to two years’ experience in customer service, healthcare customer service, billing, or front desk coordination.
  • Familiarity with insurance plans and medical terminology is preferred.
  • Strong communication and customer service skills, with the ability to speak clearly, write professionally, and interpret a variety of instructions and documentation.
  • Proficiency with computers, Microsoft Office applications, and experience with EMR systems is preferred.
  • Ability to multitask in a fast-paced environment and handle patient interactions with empathy and professionalism.
Supervisory Responsibilities

This position has no direct supervisory responsibilities.

Physical Demands & Work Environment

This position requires regular sitting, standing, walking, computer use, and frequent patient interaction in a clinical setting. Employees may lift or move up to 30 pounds. Extended periods of computer use and patient interaction are common. Travel to multiple clinic locations and participation in staff development and training sessions may be required. Work is performed in a clinical environment with moderate noise levels and frequent interaction with patients, staff, and providers.

Work Schedule
  • Monday through Friday: 6:45 a.m. – 5:00 p.m., based on clinic and operational needs.
  • Saturday Clinic and Urgent Ortho coverage: 8:00 a.m. – 12:00 p.m., as needed.
  • Saturday MRI Clinic coverage: 6:30 a.m. – 1:00 p.m., as needed.
  • Work schedules may vary based on patient volume, staffing levels, provider schedules, business demands, and operational requirements. Additional hours, schedule adjustments, and coverage assignments may be required to support organizational needs.
