HR Team Administrator - Full-time

Job purpose

The HR Team Administrator provides vital administrative support to the Director of Human Resources and the broader HR team, helping to coordinate key processes, communication, and team initiatives. This role ensures smooth day-to-day operations while maintaining confidentiality, attention to detail, and a strong alignment with BELAY’s culture, mission, and values.

Duties and responsibilities

As a BELAY Corporate Team member, you will professionally represent the company in all virtual and in-person interactions. You are expected to exemplify our mission, vision, and core values daily, fostering a collaborative and positive team environment.

Director Support

  • Anticipate and respond to the Director’s needs by managing priorities, drafting correspondence, conducting research, and preparing materials for meetings, presentations, and development opportunities
  • Manage complex scheduling by prioritizing appointments based on business needs and recommending adjustments as required
  • Confirm all meeting logistics in advance, including time zones, locations, contact information, notes, and agendas, while ensuring adequate preparation time
  • Coordinate domestic and international travel arrangements
  • Manage the Director’s email inbox and draft internal and external communications while maintaining confidentiality and professionalism
  • Prepare and submit weekly expense reports and monitor reimbursement status
  • Execute ad hoc professional and personal tasks, projects, and initiatives as assigned

Department Responsibilities

  • Coordinate calendar invitations, prepare and distribute agendas, and manage HR communications and presentation materials for the BELAY All Team (BAT) Meeting
  • Oversee implementation and ongoing management of the quarterly BELAY Buddies program
  • Coordinate HR communication channels’ weekly announcements
  • Maintain and update the Organizational Chart and Corporate Map to reflect staffing and role changes
  • Conduct quarterly audits of the Employee Portal, Predictive Index, and Corporate Map to ensure accuracy and compliance
  • Assist Senior HR Business Partner with Job Description quarterly audits
  • Manage employee milestone recognition, including anniversary announcements and coordination of gift card purchases
  • Maintain HR documentation, reports, and policies to ensure compliance with organizational standards
  • Partner with the Senior HR Business Partner and Corporate Recruiter to deliver a seamless candidate experience by creating offer letters and initiating onboarding projects
  • Collaborate with the HR Specialist to ensure a consistent, high-quality onboarding experience for all new employees
  • Manage HR ticketing requests in SFDC, ensuring timely completion, dashboard maintenance, and departmental reporting accuracy
  • Support HR culture and engagement initiatives by administratively managing team meetings, benevolence program, events, and assisting with any logistical support for the HR and, as needed, events team
  • Perform additional duties as assigned by the Director of Human Resources

  • Bachelor’s degree preferred or equivalent work experience
  • Demonstrated ability to handle sensitive information with the highest degree of confidentiality and discretion
  • Strong interpersonal skills and a genuine enthusiasm for supporting people and building relationships
  • Exceptional organizational, time management, and multitasking abilities
  • Proficiency with technology tools and systems (e.g., Google Workspace, Slack, Paycor, Jazz, Asana, Canva, Salesforce, and project management tools).

Working conditions

BELAY Corporate offers full-time remote work, requiring a dedicated, distraction-free home office for standard Monday-Friday business hours, with occasional travel for some roles.
