The Facility & Equipment Maintenance Supervisor is responsible for the safe, reliable, and efficient operation of our 3-story medical device R&D and manufacturing facility. This leadership role combines hands-on technical expertise, oversight of the facilities team, project management, and ownership of facility and equipment maintenance programs.
The Supervisor directly leads and manages the Facility team: setting priorities, coaching, and ensuring high performance, safety, and professionalism. The Supervisor ensures that building infrastructure, utilities, production equipment, labs, and work spaces are maintained to support medical device research and product and process development, cleanroom operations, regulated manufacturing, and employee safety. This position requires a highly organized, proactive leader who can balance urgent operational needs with long-term improvements, strengthen documentation, and institutionalize knowledge across the team.
Note: This is a full-time onsite position, not generally hybrid or work-from-home schedule applicable.
Key Responsibilities:
- Provide leadership, coaching, and structured development for the Facility Team
- Establish expectations for safety, professionalism, organization, communication, and accountability.
- Create cross-training plans and backup coverage to ensure critical tasks can be performed by multiple team members.
- Foster a culture of continuous improvement, proactive problem-solving, and high team morale.
- Provide timely, constructive feedback and model positive, collaborative behavior.
- Oversee, schedule, and perform maintenance of building systems including HVAC, electrical distribution, plumbing, lighting, compressed air, chilled water, vacuum systems, fire life safety, and other utilities.
- Ensure reliable operation of lab/production equipment (troubleshoot, repair, preventive maintenance, calibration support.
- Support cleanroom maintenance and environmental control systems.
- Manage mechanical rooms, rooftop equipment, and facility infrastructure critical to R&D and manufacturing.
- Respond to urgent facility and equipment issues with proper prioritization and follow-through.
- Ensure work areas are clean, organized, and safe during and after all tasks.
- Lead preventive maintenance (Fast Maint or equivalent), ensuring all assets are documented, scheduled, and maintained.
- Shift maintenance from reactive to proactive through structured PM schedules and continuous improvement.
- Document PM procedures and maintenance history to reduce reliance on individual knowledge.
- Track maintenance tasks, overdue items, equipment performance trends, and parts inventory.
- Lead short and long-term projects: facility upgrades/renovations. Utility and equipment modification, relocation, and repair
- Develop project scopes, timelines, resource needs, budgets, and risk assessments.
- Present prioritized options to key stakeholders with pros/cons and recommendations.
- Ensure complete project closeout, including cleanup, documentation, validation (if applicable), and stakeholder sign-off.
- Maintain a highly organized warehouse, stockroom, and tool inventory, including labeling, tracking, and accessibility.
- Ensure tools and supplies are returned, and work spaces remain organized and functional.
- Implement systems that remain effective with multiple users and across shifts.
- Optimize part reorder points, vendor relationships, and lead times.
- Develop SOPs, checklists, system diagrams, troubleshooting guides, and facility documentation to reduce tribal knowledge.
- Document key systems: utility maps, shutoff locations, airflow diagrams, equipment settings, and maintenance instructions.
- Ensure maintenance, repair, and projects are documented in compliance with ISO 13485 and internal procedures.
- Collaborate with QA/QC and EHS to maintain required records.
- Model and enforce strict adherence to safety protocols (ladder safety, fall protection, PPE, LOTO, housekeeping).
- Secure work areas during and after tasks; ensure temporary work zones are clearly marked.
- Conduct safety observations, team training, and toolbox talks.
- Maintain compliance with ISO 13485, OSHA, Cal/OSHA, fire code, and internal policies.
- Promote a "safety-first" culture and promptly address hazards or unsafe behaviors.
- Identify, evaluate, and maintain relationships with third-party vendors and contractors for technical or specialty work.
- Ensure contractor work meets safety, quality, and documentation requirements.
- Review quotes, scopes, and change orders; manage vendor performance and reliability.
