Position Summary
Roosevelt University Financial Aid Services seeks an Associate Director of Financial Aid Systems to provide strategic leadership and functional oversight for the university’s financial aid management system, external interfaces, reporting, web and portal services, and related technologies. The role ensures efficient workflows, high-quality customer service, data integrity, and compliance with federal, state, and institutional regulations.

- Minimum of five years of experience administering or supporting Ellucian Banner, including Ellucian BDMS, BCM, and Ellucian Action Line.
- Experience with databases, reporting tools, and emerging technologies within higher education.
- Bachelor’s Degree.
- Understanding of data governance, data definitions, classifications, and sensitivity of information.
- Demonstrated project management skills with system implementations, conversions, or major upgrades.
- Strong analytical skills committed to data integrity and validation in complex systems.
- Excellent verbal and written communication skills and strong customer service orientation.
- Programming and data integration experience.
- Experience providing administrative or programmatic support within enrollment, financial aid, or student services.
Student and Family Communication (50%)
- Plan, draft, and distribute email communications to students regarding financial aid application steps, requirements, awards, and deadlines using Ellucian Banner, Outlook, and other tools.
- Develop and maintain targeted financial aid content for the parent portal.
- Maintain and update financial aid web pages to ensure accuracy and student-centered messaging.
- Serve as key contact for students and families seeking clarification on financial aid communications.
Financial Aid Systems Leadership & Strategy (35%)
- Provide oversight and leadership for the financial aid management system, ensuring alignment with institutional priorities and enrollment strategies.
- Act as the Financial Aid Functional Lead, liaison with the Information Technology team and primary point of contact for financial aid systems processes, data, and reporting.
- Lead planning for the Ellucian Banner financial aid roadmap, including monitoring, testing, reporting, and coordination of software updates and upgrades.
- Collaborate with enrollment management leadership and other enrollment unit system leads to align technology with broader university objectives.
Data, Reporting & Compliance (25%)
- Develop data-driven insights and ensure accurate financial aid reporting for federal, state, and institutional compliance.
- Manage the creation of reports and survey data, develop queries, produce reports for staff and administrative offices, and maintain data integrity.
- Serve as a key resource for internal and external auditors, ensuring accuracy, consistency, and reliability of reported data.
Technology Optimization, Automation & Process Improvement (20%)
- Utilize technology to enhance packaging, awarding, and student communications, optimizing system capabilities.
- Implement and support automation strategies that streamline financial aid workflows and reduce manual processing.
- Direct system upgrades and process improvements to ensure integration with campus technology and operational continuity.
Other Responsibilities (10%)
- Lead planning and implementation of new technology initiatives that enhance processing, service delivery, and regulatory compliance.
- Coordinate enhancements to online functionality and evaluate emerging tools.
- Provide training and guidance to financial aid staff on system usage and best practices.
- Build and maintain strong working relationships across the University to support continuous improvement of financial aid systems and programs.
