Salary: $55,000 - $60,000 annually, commensurate with experience and quarterly bonus potential.

About the Role

We are seeking a dedicated and enthusiastic Office Manager to join our team. The Office Manager is a cornerstone position in our clinic, ensuring that our office operates smoothly and efficiently. This role is integral to creating a warm and inviting atmosphere for our patients and staff and facilitating the exceptional service our clinic is known for. Successful candidates will possess excellent communication skills, a proactive attitude, and a deep commitment to our core values.

Responsibilities
  • Patient Experience Management:
    • Conduct welcome calls and confirm appointments to enhance patient satisfaction.
    • Oversee the reception area to ensure efficient operations and a pleasant arrival experience for patients.
    • Manage consultation conversations and ensure patient agreements and documentation are up-to-date.
  • Team and Office Management:
    • Direct and supervise office staff, fostering a positive work environment aligned with our core values.
    • Manage efficient opening and closing procedures.
    • Manage labor budgets and approve overtime as necessary in coordination with the Regional Practice Manager.
    • Conduct regular team meetings and coaching sessions to reinforce office culture and address performance issues.
    • Strive to foster and contribute positively to a patient-first, team-based culture.
    • Implement and train staff on new office policies and procedures.
    • Ensure the office complies with all healthcare laws and regulations.
    • Provide high-level administrative assistance to providers, reflecting a detailed and organized approach.
  • Scheduling and Logistics:
    • Maintain and audit the patient schedule to ensure optimal flow and minimize gaps; proactively fill cancellations to maintain efficiency.
    • Prepare team schedules two weeks in advance, ensuring they align with budget considerations.
    • Lead daily morning huddles to discuss the previous day's outcomes, wait times, opportunities for improvement, and patient-related issues.
  • Inventory and Administrative Duties:
    • Conduct inventory reconciliation and ordering based on forecasted needs to ensure necessary supplies are always available.
    • Manage and audit patient scheduling practices to avoid overbooking and ensure adherence to planned schedules.
Qualifications
  • Proven experience as an Office Manager, Practice Manager, or similar role, preferably in a healthcare setting.
  • Proficient in MS Office, with working knowledge of healthcare management systems, Microsoft Suite, and Google Suite products.
  • Strong leadership skills with a proven ability to manage and inspire a team.
  • Excellent organizational skills and attention to detail.
  • Ability to manage multiple tasks and remain calm under pressure.
  • Strong communication skills and a patient‑oriented approach.
  • Knowledge of administrative and clerical procedures.
  • Experience with budget management and scheduling.
  • Ability to present information and make recommendations effectively in oral and written form.
  • Bachelor's degree in business administration, healthcare management, or a related field is preferred.
