Position: PAYROLL COORDINATOR (anticipated)

Supervisor: Director of Finance

Classification: At Will, Exempt

Work Schedule: 8 hours per day, 12 Months

Salary Range: $60,000 - $70,000 with IMRF 100% paid

Start Date: July 1, 2026 or sooner

Qualifications
  • Minimum of five years of experience managing payroll processing for school districts, Tyler Tech (School ERP Pro) preferred.
  • Previous payroll experience involving negotiated agreements and varying contracts.
  • Experience processing IMRF and TRS for school employees.
  • Demonstrates an in-depth knowledge of payroll applications and procedures, preferably in a school setting.
  • Demonstrates an understanding of employee benefits and deductions.
  • Mathematical/bookkeeping aptitude to support accounting and/or bookkeeping procedures.
  • Skilled in the use of technology and software systems/programs.
  • Accurate computer keyboarding skills and knowledge of word processing.
  • Advanced experience using MS Excel/Google sheets (formulas, data management, pivot tables, etc.).
  • Demonstrates accuracy and attention to detail essential.
  • Possesses the ability to prioritize assignments and complete work in a timely manner.
  • Displays excellent organizational skills.
  • Demonstrates excellent communication skills (written, oral, interpersonal).
  • Conducts matters in a professional manner.
  • Ability to work independently and follow through on assignments with minimal direction.
  • Performance Responsibilities
  • Process payroll for all District employees in a timely and accurate manner through Tyler software system.
  • Run payroll reports and generate bi‑weekly payroll liabilities check run.
  • Coordinate a complete and systematic set of all payroll records for the District.
  • Balance bi‑weekly salaries, import and balance time & attendance hours, process stipends, and key in approved timesheets.
  • Research discrepancies of payroll information and/or documentation (timesheet, leave time, salary, stipends, etc.).
  • Execute all VOID and/or reissues as it relates to payroll.
  • Establish pay records, contracts, leave balances, direct deposit, tax information and other payroll items for new employees; update as needed.
  • Manage employee direct deposit, union dues, and wage garnishments.
  • Collaborate with Benefits Coordinator to process and balance payroll deduction for employee benefits.
  • Work in tandem with substitute coordinator in the monitoring of substitutes in IMRF positions to ensure compliance with the 600‑hour rule.
  • Network with substitute coordinator on any retired TRS and IMRF employee.
  • Manage and maintain all leave balances for all employees.
  • Maintain accurate records of sick leave bank participation and balance for each union group.
  • Meet with new employees to provide payroll information and respond to questions.
  • Prepare and file tax returns for quarterly Federal and State 941s.
  • Manage TSAs and transmit bi‑weekly deposits.
  • Execute timely payments to government agencies (TRS, IMRF, IRS, State of Illinois, etc.) monthly or as required.
  • Properly calculate pay rates (hourly, overtime, blended).
  • Respond to all employee inquiries related to payroll matters in a timely manner.
  • Complete calendar‑year end and fiscal‑year end processes.
  • Responsible for all aspects of W2 processing.
  • Process monthly IMRF Report of Earnings and Pension Contributions.
  • Collaborate with payroll backup to ensure all processes are followed accordingly.
  • Process TRS Report of Earnings and Pension Contributions.
  • Investigate and complete required paperwork for past service experience as needed.
  • Execute payroll coordinator duties and responsibilities in an effective and efficient manner.
  • Maintain a high level of confidentiality.
  • Perform other duties as assigned by the Director of Finance or Director of Human Resources.
