POSITION SUMMARY

The Maintenance Parts Coordinator is responsible for the organization, accuracy, and day-to-day operation of the maintenance parts room. This position ensures that maintenance personnel have the correct parts, materials, and supplies available to support safe and efficient equipment repairs while maintaining accurate inventory records within NSP's computerized maintenance management system (CMMS). The Maintenance Parts Coordinator works closely with the Maintenance Planner, Maintenance Buyer, and Maintenance Team to improve inventory accuracy, reduce downtime caused by unavailable parts, and support overall plant reliability.

ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Track and manage the inventory of maintenance parts, materials, tools, and supplies.
  • Maintain accurate part quantities, descriptions, manufacturers, part numbers, alternate part numbers, storage locations, and other inventory information within NSP's CMMS.
  • Conduct routine cycle counts and inventory audits; investigate and resolve inventory discrepancies.
  • Monitor established minimum and maximum inventory levels and communicate replenishment needs to the Maintenance Buyer.
  • Receive maintenance deliveries, verify quantities and condition against purchase orders and packing slips, and report discrepancies to the Maintenance Buyer.
  • Process parts receipts and inventory transactions accurately within NSP's CMMS.
  • Stock and restock parts in assigned cabinets, shelves, bins, and storage locations.
  • Manage the maintenance parts room layout, including cabinet, shelf, and bin identification and labeling.
  • Issue parts and supplies to maintenance personnel and accurately charge parts to the appropriate work orders, assets, or departments.
  • Coordinate with maintenance technicians to ensure requested repair parts and supplies are available and properly identified.
  • Work closely with the Maintenance Planner to confirm materials are available for planned work without assuming responsibility for PM development, planning, or scheduling.
  • Stage or kit parts and materials identified by the Maintenance Planner for scheduled repairs, shutdowns, and planned maintenance activities.
  • Support the identification and documentation of critical spare parts and equipment bills of material within the CMMS.
  • Maintain accurate records of part usage, inventory movement, receipts, returns, warranties, and repairable spares.
  • Coordinate returns, damaged shipments, warranty items, and receiving discrepancies with the Maintenance Buyer.
  • Identify obsolete, damaged, duplicate, or excess inventory and communicate recommended disposition to maintenance leadership.
  • Maintain a clean, safe, organized, and audit-ready parts room using established housekeeping and 5S standards.
  • Assist with annual physical inventory counts and other inventory control activities.
  • Support continuous improvement projects related to parts availability, inventory accuracy, storeroom organization, and CMMS data quality.
  • Work on special projects as needed.
  • Perform other duties as assigned.
QUALIFICATIONS (Knowledge, Skills, and Experience)
  • A high school diploma or GED is required; an associate degree or technical certification in a related field is preferred.
  • Minimum of 1 year of experience in inventory management, warehousing, parts coordination, receiving, or clerical work, preferably in a maintenance or manufacturing environment.
  • Experience using maintenance management, inventory, warehouse, or enterprise resource planning software is preferred.
  • Familiarity with industrial maintenance parts and supplies, including bearings, motors, gearboxes, electrical components, pneumatics, hydraulics, and power transmission components, is preferred.
  • Strong organizational, prioritization, and time management skills.
  • High level of attention to detail and accuracy in inventory transactions and recordkeeping.
  • Ability to work effectively with maintenance technicians, planners, buyers, supervisors, vendors, and other departments.
  • Ability to work independently in a fast-paced manufacturing environment while managing multiple priorities.
  • Knowledge of Microsoft Office products, including Word, Excel, and Outlook.
  • Ability to read, write, and communicate in English with strong verbal communication skills. Knowledge of Spanish is helpful, but not required.
  • Forklift or powered industrial truck certification is preferred, or the ability to obtain certification after hire.
