DutiesUnder direction, the Secretary II performs varied clerical and secretarial duties for and relieve supervisor of minor administrative duties in the Nursing subdivision. Maintains a close and highly responsive relationship to the day to day work activities of the office of the supervisor. Work requires knowledge of programs and procedures relating to the work of the supervisor, as well as other departmental personnel.
The Secretary II is dedicated to the learning college concepts by developing programs and facilitating activities that promote student success and lifelong learning.
A summary of essential duties and responsibilities for the Secretary II role include the following:
- Reads and routes incoming mail.
- Types letters, memoranda, records from copy or rough draft following standard procedure
- Composes letters, memos, reports, agendas and transcribes minutes.
- Types and may assist in compiling periodic reports or other departmental material
- Takes dictation and transcribes notes on computer or transcribes from voice recordings.
- Files routine and/or confidential correspondence and other records according to established file classification system. Maintains student files and records relating to academic records.
- Answers telephone and gives information to callers or routes call to appropriate official and places outgoing calls.
- Maintains course schedule, data, load sheets, payroll, contracts, etc.
- Prepares and processes purchase orders and invoices for payment.
- Schedules appointments for supervisor, arranges meetings as instructed, and maintains supervisor’s calendar.
- Greets visitors, ascertains nature of business, and conducts visitors to supervisor or appropriate person.
- Coordinates printing projects for the department/subdivision with Reprographics and Marketing & Creative Services.
- Prepares Travel Authorization forms and Payment Reimbursements as needed.
- Maintains financial records and department/subdivision budgets.
- May process background checks, including obtaining fingerprinting.
- Assists supervisor with preparing PowerPoint presentations
- Coordinates the department capital purchases.
- May order supplies for the department/subdivision as needed.
- May administer faculty evaluations. Coordinates and plans major in-service programs, meetings, conferences and other campus-related events.
- Processes and maintains absence forms.
- Confirms teaching schedule for adjunct faculty requesting parking spots.
- Prepares regular outgoing mail and mass mailing projects for department/subdivision.
- Performs a variety of duties that are specific to the office of assignment and that require knowledge of the procedures, functions, and software programs used by that office.
- Performs job-related duties as assigned.
High school diploma or general education degree / high school equivalency (GED); a minimum of one year specialized training in related area; and minimum of three (3) years’ related clerical/secretarial experience in a general office environment required.
Note:
Software and skills proficiency testing for the specific position will be required upon hire and must be successfully completed within the probationary period, if this testing has not been previously completed.
- Ability to read and comprehend instructions, correspondence, and memos. Ability to write routine reports and correspondence.
- Effective communication skills, interpersonal skills, organizational and critical thinking skills.
- Basic bookkeeping skills.
- Ability to work independently and exercise good judgment.
- Proficiency in Microsoft Office.
- Ability to learn and use various department-specific software programs.
- Ability to compose minutes.
- Ability to handle confidential material and maintain confidence.

$19.54 per hour plus exceptional benefits
