The Bookkeeper is responsible for accurate and timely entry, processing, and maintenance of financial transactions across the organization’s accounting, banking, expense management, grant billing, and funder reporting systems. The Bookkeeper also prepares routine financial reports, assembles documentation for grant billings and reimbursement requests, and works with Accounting Budget Managers and program staff to resolve discrepancies and maintain accurate grant financial records.

Key Areas of Responsibilities:- Process Accounts Payable/Accounts Receivable by entering vendor invoices, payments and payment requests into the accounting systems, including vendor, grant, program, account code, amount, and other required information.
- Verify that transactions have appropriate supporting documentation and maintain accurate records of outstanding and collected amounts and approvals before processing.
- Enter required financial information into funder portals, grant management systems, voucher systems, and other external reporting platforms used to submit reimbursement requests and financial reports. Match amounts entered into voucher systems to the organization’s general ledger, accounts receivable, and revenue records and identify discrepancies for correction.
- Enter, review, and/or transfer approved employee expenses, credit card transactions, reimbursements, and related documentation between the expense management and accounting systems.
- Enter approved journal entries and adjustments into the accounting system with appropriate descriptions, coding, and supporting documentation.
- Ensure monthly grant reporting, tracking and expense coding.
- Generate monthly revenue, expenditure, receivable, and other financial reports by grant or funding source for review by Accounting Budget Managers and grant accountants.
- Enter and categorize bank transactions in the accounting system and ensure transactions are matched to appropriate supporting documentation and general ledger accounts.
- Work with program and accounting staff to verify that expenditures are assigned to the appropriate grant, program, funding source, general ledger account, and cost category.
- Support Accounting team with month-end and year-end close by completing assigned transaction entry, reconciliations, account reviews, and corrections.
- Additional Bookkeeping projects and functions as needed.
- Associates Degree in Accounting, Finance or related field. Bachelor’s Degree preferred.
- 2+ years of accounting experience preferred.
- Experience in Accounting with knowledge of federal, state, and county funding.
- Experience with Quick Books and Sage/Intacct preferred.
- Spreadsheet proficiency in Microsoft Excel.
- Proven ability to meet daily, weekly and monthly deadlines.
- Good organizational, time management, interpersonal and communication skills.
- Ability to work independently and as part of a team.
