Position Overview

The Medical Records Supervisor leads the daily operations of the Health Works medical records department. This position is responsible for supervising Medical Records Coordinators while ensuring confidential medical records are accurately maintained, securely stored, properly tracked, and distributed in accordance with organizational policies and regulatory requirements.

The ideal candidate is an organized and collaborative leader who enjoys improving processes, developing staff, and maintaining exceptional standards of accuracy, compliance, and customer service in a fast-paced healthcare environment.

Key Responsibilities Leadership & Team Management
  • Train, supervise, mentor, and evaluate Medical Records Coordinators.
  • Provide day-to-day leadership and support to ensure departmental goals are achieved.
  • Foster a culture of accountability, teamwork, and continuous improvement.
Medical Records Management
  • Ensure confidential medical records are accurately filed, stored, retrieved, tracked, and maintained.
  • Maintain electronic tracking systems and accurate documentation.
  • Ensure medical records are retrieved and distributed within three business days.
  • Create medical files and request records for all new cases.
  • Process subpoenas and records requests in accordance with organizational procedures.
Quality & Compliance
  • Develop and conduct routine quality assurance reviews of medical records processes.
  • Ensure compliance with Health Works policies, HIPAA, and confidentiality requirements.
  • Identify opportunities to improve workflow efficiency and record management practices.
  • Assist the Quality Improvement Nurse with required documentation and medical record requests.
  • Prepare reports and departmental updates for the Health Works Director.
  • Participate in departmental and organizational meetings.
  • Perform additional duties as assigned.
Qualifications Required
  • Bachelor's degree and at least two years of supervisory experience overseeing the preparation and maintenance of medical records for children.
  • OR
  • Four years of experience preparing and maintaining healthcare records for children, including at least two years in a supervisory role, in lieu of a bachelor's degree.
  • Ability to lift up to 25 pounds.
Preferred
  • Previous supervisory experience in medical records or Health Information Management.
  • Knowledge of HIPAA regulations and medical records confidentiality requirements.
  • Experience with electronic medical record systems and document tracking.
  • Strong organizational, communication, and leadership skills.
  • Ability to manage multiple priorities while maintaining a high level of accuracy.
  • Experience working in pediatric, community health, behavioral health, or healthcare settings.
