Client Services Associate, Multi‑Family Office

Location:

Park Ridge, IL | Boston, MA | Salt Lake City, UT

Full‑Time | On‑Site Salary: $120‑$150,000 plus competitive bonus

Our client is seeking an experienced, detail‑oriented Client Services Associate to join a highly regarded wealth management organization serving ultra‑high‑net‑worth individuals, families, and institutional clients. This is a high‑trust, client‑facing position that sits at the heart of the business, supporting sophisticated clients while partnering closely with senior executives. The successful candidate will combine exceptional client service with outstanding operational expertise, ensuring every interaction and process is delivered with precision, discretion, and professionalism.

Key Responsibilities
  • Client Service & Relationship Management
    • Serve as a professional and responsive point of contact for clients, prospective clients, and professional advisors.
    • Build trusted relationships through proactive, high‑touch service.
    • Respond to client requests with accuracy, efficiency, and absolute discretion.
    • Support senior advisors in delivering an outstanding client experience.
  • Executive Support
    • Coordinate complex calendars for senior executives, including client meetings, internal meetings, board commitments, and personal appointments.
    • Arrange domestic and international travel, including flights, hotels, ground transportation, dining reservations, and detailed itineraries.
    • Coordinate meetings, client events, and board meetings from planning through execution.
    • Prepare and reconcile expense reports, corporate card statements, and reimbursements.
  • Client Account Administration
    • Open and maintain a variety of client accounts, ensuring complete and compliant documentation.
    • Process account maintenance, beneficiary updates, transfers, and account changes.
    • Handle money movement and securities transactions, including ACH transfers, wire transfers, ACATS, DTC transactions, contributions, and distributions.
    • Support alternative investment transactions, including subscriptions, capital calls, redemptions, and related documentation.
    • Monitor outstanding account items and resolve operational issues promptly.
  • Meeting Preparation & Reporting
    • Prepare client meeting materials, presentations, agendas, and follow‑up documentation.
    • Coordinate reporting packages and investment materials.
    • Assist with performance reporting and client communications.
  • Operations & Compliance
    • Ensure all client documentation complies with internal policies and regulatory requirements.
    • Partner with operations and compliance teams to maintain best practices.
    • Contribute to operational improvements and special projects across the business.
Qualifications
  • 3+ years of client service or client associate experience within wealth management, private banking, brokerage, or financial services.
  • Strong knowledge of client account operations and financial documentation.
  • SIE and Series7 with Series
    63,65, or66 licenses, or the ability to obtain required registrations within an agreed timeframe.
  • Excellent written and verbal communication skills.
  • Exceptional organizational skills with meticulous attention to detail.
  • Ability to build rapport with ultra‑high‑net‑worth clients and senior executives.
  • Willingness to work on‑site full‑time, with occasional flexibility to support client events outside standard business hours.
Preferred Experience
  • Experience with in an RIA, single‑family office, multi‑family office, or private wealth management firm.
  • Experience using Addepar, Salesforce, or similar CRM and custodial platforms.
  • Comfortable leveraging AI productivity tools to improve research, drafting, and administrative efficiency.
  • Notary Public, or willingness to obtain certification.
