Primary Responsibilities
- Provide administrative and operational support to department leadership, supervisors, and associated team members.
- Prepare, process, and manage documents, reports, correspondence, compliance reports, audits, and regulatory documentation.
- Serve as the primary point of contact for MEP maintenance inquiries and weekend operations, ensuring timely response, professional customer service, and continuous coverage of campus MEP operational needs.
- Provide leadership, direction, and support to MEP technicians in response to weekend work orders, emergencies, and operational issues.
- Develop and maintain a collaborative partnership with Housing Maintenance Supervisors to ensure seamless coordination, timely completion of work orders, and effective resolution of operational issues.
- Enter, update, and maintain data in the Computerized Maintenance Management System (CMMS) and other departmental databases.
- Coordinate and monitor daily operational activities, including scheduling and assigning work to employees and vendors, ensuring timely completion and performing quality assurance.
- Assist technicians with troubleshooting complex equipment issues and determining appropriate corrective action, temporary repairs, shutdown needs, vendor support, or leadership escalation.
- Ensure technicians follow all safety procedures, university policies, lockout/tagout requirements, PPE expectations, equipment usage guidelines, and department standards.
- Communicate critical issues, unresolved work, equipment failures, staffing concerns, and follow-up needs to leadership for continuity of operations.
- Track maintenance costs, equipment & parts, invoices, labor hours, and work orders.
- Oversee inventory records and monitor usage of materials and supplies.
- Facilitate effective communication between the MEP team and other departments.
- Respond promptly and professionally to phone calls, text messages, emails, and other communications.
- Support staff coverage and provide leadership assistance when trade supervisors are unavailable or during peak workload periods.

Experience / Education- Technical certifications or licensure in at least one MEP trade.
- Minimum of 3–5 years of experience in facilities maintenance, operations, HVAC, electrical, plumbing, kitchen equipment, construction, or a related trade environment.
- Prior lead, supervisor, foreman, or field leadership experience preferred.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and maintenance management software.
- Broad working knowledge of MEP systems, maintenance practices, and construction methods in institutional or commercial environments.
- Ability to supervise employees, assign work, prioritize service requests, and make sound decisions during reduced staffing periods.
- Ability to troubleshoot building system issues and determine appropriate corrective action, temporary repair, vendor support, or escalation.
- Strong organizational and time‑management skills.
- Excellent written and verbal communication skills.
- Ability to remain calm, professional, and decisive during urgent or emergency situations.
- Must pass pre‑employment background investigation.
This position requires frequent movement throughout campus, including office areas, classrooms, residence halls, kitchens, athletic facilities, event spaces, mechanical rooms, rooftops, utility areas, and exterior campus locations. Work may be performed indoors and outdoors and may be subject to temperature variations, equipment noise, dust, mechanical equipment, electrical systems, plumbing systems, odors, and urgent maintenance conditions. The position is expected to respond to operational issues during weekend coverage periods and to provide leadership in both routine and emergency situations.
