The Executive - Facility is responsible for the strategic and operational management of the organization’s physical assets and infrastructure. This role ensures that the workplace is safe, fully functional, and conducive to productivity. The Executive oversees vendor contracts (including cleaning and security), manages facility budgets, coordinates preventative maintenance schedules, and ensures compliance with health and safety regulations. They act as the primary liaison between the organization and clients.

The Executive for Facility will perform a variety of custodial duties for Vaakawi. Such responsibilities shall be in accordance with established standards, instructions, and procedures of Vaakawi.

• Vendor Management:
  Source, negotiate with, and supervise external contractors (janitorial teams, security, HVAC technicians, pest control) to ensure service level agreements (SLAs) are met.
• Budgeting & Cost Control:
  Prepare and manage the annual facility budget; monitor operating expenses (OPEX) and recommend cost-saving initiatives regarding energy consumption or supply procurement.
• Maintenance Strategy:
  Oversee the Preventive Maintenance (PM) schedule for building systems (HVAC, electrical, plumbing) to minimize downtime and repair costs.
• Health, Safety, & Environment (HSE):
  Ensure the facility complies with all local regulations, fire safety codes, and OSHA standards; lead emergency response planning and drills.
• Space Management:
  Plan and coordinate office moves, furniture layouts, and renovation projects to optimize space utilization.
• Soft Services Oversight:
  Ensure high standards are maintained for housekeeping, cafeteria services, and front-desk reception.

• Strategic Thinking:
  Ability to look at the "big picture" of building operations rather than just daily tasks.
• Financial Acumen:
  Experience in budgeting, forecasting, and processing invoices.
• Technical Knowledge:
  Understanding of basic building systems (Mechanical, Electrical, Plumbing) to effectively manage contractors.
• Communication & Negotiation:
  Strong ability to negotiate contracts and communicate policies to internal stakeholders.
• Software Proficiency:
  Familiarity with Computer-Aided Facility Management (CAFM) tools or ticketing systems.
