About the RoleThe Facilities Coordinator is responsible for ensuring the maintenance, safety, and efficiency of the facility. This role involves overseeing various aspects of facility management including maintenance schedules, health and safety compliance, and coordination with external vendors and stakeholders.
Scheduled Shift: 8:00am-4:00pm EST.
Supervisory ResponsibilitiesThis position has no direct supervisory responsibilities but may coordinate and oversee the work of maintenance personnel and external contractors.
Essential Duties and Responsibilities- Facility Maintenance: Manage building and equipment maintenance schedules ensuring all systems (e.g., HVAC, plumbing, electrical, and security systems) are functioning properly. Arrange for regular maintenance of equipment and internal systems such as fire alarms, security cameras, and heating systems.
- Health and Safety Compliance: Monitor the facility for health and safety concerns, ensure compliance with health and safety regulations, and remove hazardous materials from all areas accessible to employees and guests.
- Issue Resolution: Validate reported maintenance issues and resolve or repair them if within scope. Coordinate escalation of maintenance needs outside scope such as general contracting, electrical, plumbing, and junk removal.
- Supply Management: Support supply tracking and management. Manage equipment and supply needs (e.g., furniture, telecommunications, kitchen appliances, office equipment).
- Vendor Coordination: Work with facilities management on efficiency and cost savings opportunities. Coordinate with external vendors such as cleaners and security guards. Conduct market research and compare costs and benefits when evaluating new vendors.
- Special Projects: Coordinate special projects including special waste and junk removal and assist with building security systems (e.g., Verkada). Act as a backup for user access at the site.
- Compliance and Regulatory: Work with the landlord to ensure fire extinguishers are current and compliant, maintain elevator compliance, and serve as the contact for generator maintenance and blackout tests.
- Budget and Financial Management: Keep track of regular and ad-hoc facility expenses, maintain an updated record of invoices from external partners, and assist in financial management to optimize costs and forecast financial requirements.
- Work Experience: Experience as a Facilities Coordinator or similar role is preferred.
- Facilities Management Knowledge: Strong knowledge of facilities management operations, including familiarity with office equipment and security systems.

Ability to read, write, and communicate in English at a level to facilitate job terminology. Excellent organizational and communication skills. - Technical
Skills:
Hands-on experience with facilities management software is a plus. Proficiency in office software such as Microsoft Word, Excel, and Outlook. - Safety Regulations: Understanding of safety regulations in offices and ability to respond to building and equipment emergencies.
- Flexibility: Flexible work schedules and ability to think quickly during emergencies.
- Bachelor's or Associate degree in Facility Management, Business Administration, or a related field is preferred.
- Additional certification as a Facility Manager (CFM) or Facility Management Professional (FMP) is advantageous.
Work is performed in a mixed environment, combining indoor facility operations with frequent outdoor work in varying weather conditions. This role involves significant physical labor, requiring the employee to regularly unload trucks, stock heavy materials such as bulk gel packs, and routinely lift, push, or pull 50 pounds (and occasionally more).
