Then you may be our new O&M Facilities Coordinator for the Bureau of Environmental Services (BES)!

The BES Operations & Maintenance Group (O&MG) Facilities Management program manages buildings and grounds at two large treatment plants, four off-site facilities and 98 pump stations. This includes 125 acres of property at the Columbia Boulevard Wastewater Treatment Plant (CBWTP); 10 acres of property at Tryon Creek Wastewater Treatment Plant; along with over 200 different structures, 75 of which are located at the two treatment plants.

They range in size from 50 square feet to 60,000 square feet. More than 10 of these structures are occupied regularly. All of them have paving, sidewalks, landscaping, walls and windows, doors and locks, utilities (power, water), lights, equipment, furniture, ventilation, roofs with gutters and downspouts, fences, and neighbors.

The City of Portland Bureau of Environmental Services (BES) is seeking a Facilities Coordinator II to support a safe, efficient and well-managed workplace by overseeing facility assets and coordinating a wide range of facility projects. This role maintains the integrity and accuracy of asset data within the Computerized Maintenance Management System (CMMS) and supports the development and implementation of a comprehensive preventive maintenance program that extends equipment life and reduces operational downtime.

Working closely with internal teams, vendors, and contractors, the Facilities Coordinator serves as a central point of communication for facility operations. The role emphasizes strong planning, documentation, and follow-through to keep projects on schedule and within scope, all while prioritizing safety, accessibility, and overall workplace quality. Through proactive inspections, hazard identification, and coordination of corrective actions, the coordinator actively contributes to a culture of safety and continuous improvement.

Overall, this position plays an essential part in maintaining a workplace where employees can work safely, productively, and with minimal disruptions.

What you’ll get to do:
  • Maintain accurate asset data within the CMMS, including equipment records, preventative maintenance schedules and lifecycle information.
  • Prioritize, schedule, and account for the backlog of maintenance which has been deferred over time. Order and coordinate parts/materials and services as needed to support maintenance work.
  • Assist in the development and documentation of SOP’s (Standard Operating Procedures) for the O&M Facility Maintenance program.
  • Collaborate with internal teams, contractors, and vendors to plan and execute facility upgrades, repairs, and improvements.
  • Conduct routine facility inspections to identify safety hazards, maintenance needs, and opportunities for operational efficiencies.
  • Ensure all facility work complies with safety standards, regulatory requirements, and organizational policies.
  • Participate in and lead facilities efforts in the condition assessment of BES Facilities assets.
  • Investigate and resolve employees’ complaints and repair requests
  • Respond to facilities concerns, and issues regarding aging work orders and open requisitions.
  • Assist with facilities planning and forecasting.
