Purpose
Provide a professional on-site presence at the Forest Hill Community Center office and be available to handle emergencies or tenant needs outside of set office hours. Efficiently manage office operations, oversee building maintenance and repairs, and coordinate with facility renters and tenants.
Key Responsibilities Office Management- Be present at the church Monday through Thursday for a stated set of hours
- Serve as the primary point of contact for the building, monitoring and responding to calls, physical mail, email, and other points of communication
- Be flexible to work evenings and weekends to handle emergencies or tenant issues
- Forward communications to appropriate staff, volunteers, or tenants when necessary
- Monitor office and building supplies, ordering more when needed (e.g., printer paper, etc.)
- Manage the church rental calendar and coordinate with outside groups regarding facility usage
- Act as the main liaison for all renters and users of the Forest Hill Community Center property, attending to their physical needs as they arise.
- Coordinate set-up needs for groups that need spaces cleaned or arranged a certain way.
- Prepare leases and user agreements for mid- to long-term usage.
- Process and deposit rental payments, maintaining documentation as needed.
- Perform frequent routine inspections of the inside and outside of the church property
- Ensure HVAC, plumbing, electrical, lighting, and security systems and service equipment in the church are operational and working properly and efficiently.
- Review and schedule seasonal checks and regular preventive maintenance on the property.
- Coordinate and supervise outside contractors as needed, including cleaning services.
- Triage building maintenance needs as they arise. If a contractor is needed, serve as the primary point of contact.
- Communicate maintenance changes and needs to the Presbytery of the James.
- Coordinate with contractors to arrange quarterly HVAC maintenance, landscaping and snow removal, janitorial service, and other related property needs.
- Ensure timely completion of facility-related tasks
- Work with inspectors to ensure the building and grounds comply with applicable codes and regulations.
- Identify maintenance and improvement projects on the church grounds and communicate them to the presbytery.
- Coordinate contractors or volunteers, as needed, to support landscaping, grounds maintenance, leaf raking, and walkway snow removal.
- Oversee contract lawn care and parking lot snow removal.
- Oversee security protocols, including unlocking/locking buildings, monitoring security systems, and handling emergencies.

- Strong organizational skills with attention to detail
- Demonstrated reliability and trustworthiness in handling sensitive information
- Proficiency with office software (word processing, spreadsheets, email)
- Ability to work independently while collaborating effectively with staff and volunteers
- Experience in facility management, property maintenance, or a similar role.
- Certifications:
Certifications such as BOMA (Building Owners and Managers Association) are a plus.
This position reports directly to the General Presbyter of the Presbytery of the James and is overseen by the Presbytery's Mission Council.
This position regularly coordinates with the Forest Hill Presbyterian Church Task Force.
