Campus Visit Coordinator And Admission Assistant
The Campus Visit Coordinator and Admission Assistant provides vital support to all areas of the enrollment department, including first-year admission, transfer admission, as well as graduate admission, and, when necessary, support for the Dominican University Chicago Campus admission team. In collaboration with the Campus Experience Team, and campus partners, this role helps ensure a seamless, welcoming, and engaging experience for all prospective students and guests.
Duties/Responsibilities- Act as a front-line representative of enrollment management by serving as the primary point of contact for the Office of Admission, including answering incoming calls and monitoring and managing the admission email inboxes
- Deliver excellent customer service and offer a warm and welcoming demeanor, and ensure a high-quality experience for all campus visits and individuals engaging with the department through multiple channels of communication
- Collaborate with campus partners, including Enrollment Systems and Operations, Financial Aid, Stars Connect, and Student Success and Engagement, to support students, address concerns, and provide solution-oriented assistance to help students navigate challenges they may encounter
- Communicate professionally using email, phone, virtual platforms, and in meetings. Bilingual proficiency in English and Spanish is needed to support communication with students, employees, and community members
- Assist with on-campus admission events, as needed, including occasional evening and weekend events
- Utilize the department's Customer Relationship Management (CRM) system, Slate, to log student interactions, scan and forward application documentation, enter student inquiry information, schedule campus visits and events, and provide enrollment support to students
- Ensure all interactions, including calls, emails, and walk-ins, are accurately documented in Slate to support reporting and data integrity
- Maintain and utilize a reporting process within Slate and other technology tools to track and report campus visits and events
- Schedule in-person campus visits and virtual appointments for the admission counselors by utilizing Slate, as well as the staff's Outlook Calendars
- Customize visit itineraries for prospective students, including coordinating meetings with faculty, staff, and athletic coaches, as needed
- Coordinate daily campus tours and assist with the needs of walk-in visitors
- Plan and support small group information sessions and Financial Aid Week appointments to ensure a well-organized and engaging experience
- Actively participate in departmental meetings and contribute to team initiatives
- Maintain inventory of office supplies and admission materials, and coordinate the (re) ordering as needed
- Organize and maintain the Welcome Center and admission kitchenette to ensure a professional and welcoming environment
- Handle a wide variety of tasks in a fast-paced, service-oriented atmosphere by effectively prioritizing responsibilities using strong organizational and interpersonal skills
- Perform other duties as requested by supervisor
- High school diploma or GED
- Bilingual Spanish/English
- Some college
- Experience working in a fast-paced customer service environment
- Experience with Slate (CRM) and Jenzabar (ERP)
- Proficient in Microsoft Office Programs, i.e., Word, Excel, PowerPoint, etc.
- Ability to spend long durations of the workday sitting at a desk and working on a computer
- Must be able to lift up to 15 pounds at times
- Salary: $22.00 - $24.00/hour
