Office Administrator
The Live Wire Office Administrator serves as the front office coordinator and first point of contact for visitors, clients, and contractors. He/She is primarily responsible for keeping the front office running smoothly managing reception, mail and shipping logistics, meeting coordination, and day-to-day administrative support so that Live Wire's leadership and project teams can stay focused on delivering safe, on-time, on-budget work for our clients.
This position reports directly to the Executive Assistant to the President.
Compensation:
• Base salary: $45,000–$54,000, commensurate with experience

Core Duties and Responsibilities
Front Desk & Customer Experience
• Greets and welcomes visitors, clients, and contractors in a professional and friendly manner
• Answers, screens, and directs incoming phone calls; takes and relays accurate messages
• Maintains a clean, organized, and professional reception area
Mail & Office Logistics
• Receives, sorts, and distributes incoming mail and packages
• Coordinates outgoing shipments, including scheduling Fed Ex and other carrier pickups
• Communicates with the warehouse team regarding deliveries and logistics
Administrative Support
• Performs light data entry; scans, files, and organizes digital and physical documents; maintains accurate records
• Provides general administrative support to leadership and office staff
Office Operations & Coordination
• Manages conference room scheduling and coordinates meeting logistics, including hospitality (refreshments, materials, setup)
• Monitors office supply inventory and assists with ordering and restocking
• Supports setup and coordination of internal meetings, trainings, and company events
Team & Operational Support
• Collaborates with internal teams to support daily operations and maintain a welcoming, organized, and efficient office environment
• Assists with special projects and additional administrative tasks as assigned
Requirements
• Strong organizational, time management, and multitasking skills
• Excellent verbal and written communication skills; professional demeanor with strong attention to detail and a customer service mindset
• Ability to work independently and as part of a team; adaptable and shows initiative
• Comfortable working in a fast-paced, team-oriented environment
Education and Experience
• High school diploma or equivalent required
• 1–3 years of experience in a receptionist, administrative, or office support role
• Proficiency in Microsoft Office (Outlook, Word, Excel)
