General Description

To supervise and lead the administrative support staff and address the worksite needs of the ASAs and Investigators assigned to the Rolling Meadows Courthouse. To collaborate with other Office Managers on processes and procedures that will ensure that work is being completed in the most productive and efficient manner. Provide positive leadership, training, and direction to all administrative supervisors and support staff.

Physical Requirements

Medium Work:
The position requires the ability to stand or walk frequently, often for extended periods. You may need to lift, carry, push, or pull objects weighing up to 20 pounds regularly, and occasionally heavier items. The job may also involve a significant amount of walking or standing relative to sedentary roles.

Duties/Responsibilities
  • Maintain and require strict confidentiality of all office information received or learned, office policies, and employee matters.
  • Exercise integrity and decorum in all situations.
  • Electronically maintain time and attendance records and ensure that all employees are in compliance.
  • Conduct regular meetings with administrative supervisors, if any, and with administrative staff.
  • Attend all Office Manager meetings, as scheduled, and host/lead meetings at rotating work sites.
  • Participate in weekly Office Managers conference calls with Bureau Chief.
  • Participate in collaborative meetings with other county stakeholders.
  • Conduct interviews for prospective employees and prepare interview evaluations of candidates.
  • Prepare and administer annual performance evaluations for administrative employees at your location.
  • Prepare and administer disciplinary action, as needed, in compliance with Office policies and the appropriate Collective Bargaining Agreement.
  • Prepare statistical and year‑end reports.
  • Maintain and properly distribute petty cash funds, in accordance with Office policy.
  • Maintain safety evacuation and Continuity of Operations Plans for the respective CCSAO work location.
  • Maintain proper documentation and logs of all cases and policies at your location, and supervise the destruction/disposal of documents/files in accordance with office guidelines and the Local Records Commission.
  • Maintain inventory and security of the evidence vault.
  • Facilitate and execute all legal and professional requests and needs from CCSAO employees at the facility work site that are in compliance with Office policies.
  • Troubleshoot, problem‑solve and facilitate all administrative concerns for the CCSAO work site in collaboration with other County stakeholders and external agencies.
  • Work with the Director of Operations/Purchasing, and/or Director of MIS, to order, store, and control all office supplies and equipment, and arrange service calls for office equipment, as required.
  • Support a clean and healthy work environment in accordance with the mission and values of the State’s Attorney’s Office and the EEO policy.
  • Perform additional duties and responsibilities as needed or required.
Qualifications Required
  • Demonstrated strong leadership and collaborative skills and the ability to motivate others.
  • Detail‑oriented, with excellent interpersonal, verbal and written communication, organizational, and multi‑tasking skills.
  • Must be able to lift/push 50 lbs.
  • Ability to work independently and perform duties in high‑pressure situations.
  • Proficiency in Microsoft Office applications.
  • Proficiency in CRIMES, SharePoint, and CLERKS.
Preferred
  • Management of two or more staff members.
  • Knowledge of Microsoft Office 365 Suite (SharePoint, Teams, Outlook, Planner, List, CRIMES, NICE Evidence Management Systems, and Clerks).
  • Knowledge of the various units within the office.
