Job Purpose

The Maintenance Supervisor has primary responsibility for the physical integrity of each community and proper maintenance and oversight. The majority of a Maintenance Supervisor’s time is involved in the scheduling of work orders, the preparation of new apartments for occupancy, and the completion of on‑going maintenance projects on each community.

Duties & Responsibilities
  • Providing excellent service to residents, guests, employees and contractors
  • Overseeing the maintenance staff for the community
  • Providing training to all maintenance staff members for needed coverage
  • Scheduling work orders
  • Maintaining the community effectively while following budget guidelines
  • Ensuring completion of routine service requests within 24 hours
  • Recording service requests and informing the Community Manager of any resident maintenance issues
  • Developing a maintenance and cleaning schedule for all areas of the community, including common areas, amenities, breezeways, parking lots and entrance areas
  • Keeping the maintenance shop organized and clean
  • Purchasing maintenance supplies in accordance with budget guidelines
  • Adhering to all government policies, including OSHA and EPA guidelines
  • Reviewing work with outside contractors prior to completion
  • Maintaining operations and response plans for issues such as asbestos, lead and mold
Specific Responsibilities Daily/Weekly
  • Hold daily Community Manager meetings to review maintenance issues and make‑ready status, and communicate maintenance concerns and corrective action plans
  • Conduct daily common area inspections before 10 am
  • On peak days, ensure grounds inspections are completed by the entire maintenance staff and segment property for trash pick‑up
  • Hold maintenance staff meetings to enforce uniform standards, schedule technicians and groundskeepers, and review shop cleanliness and supplies status
  • Ensure coverage during all operating hours
  • Prepare make‑ready reports daily and schedule units accordingly; install vendor locks if needed
  • Update make‑ready board and schedule in the CSR daily
  • Schedule and complete work orders, maintaining a 24‑hour response policy
  • Inspect move‑outs after Community Manager inspections; determine touch‑ups or full paint needs
  • Maintain key log and confirm all keys account at day‑end; notify office staff if the office remains open late
  • Provide on‑call coverage during non‑business hours and schedule on‑call duties among staff; cover all weekends appropriately
  • Enforce trash standards on breezeways; post trash notices daily
  • Maintain MSDS/OSHA/EPA logs in shop and office, and inform staff of updates at weekly meetings
  • Keep the CSR updated; utilize it for maintenance functions and preventative maintenance schedules
  • Check irrigation weekly and refer to the CSR service schedule
  • Oversee trash compactor operations on weekends, if necessary
  • Enforce overtime policy, avoid overtime when possible, report status each Monday
  • Check inventory weekly, order supplies as needed, and use approved vendors to minimize retail purchases
  • Maintain common areas on weekends and Saturday afternoon cleans
  • Ensure pool maintenance weekly and cover weekends during season
Monthly
  • Walk entire property for a car check; delegate the check to staff weekly; report issues to the Community Manager
  • Perform required inspections and walk breezeways monthly according to the CSR
  • Conduct scheduled walk with the landscaping contractor; review all landscaping and irrigation
  • Walk property with the Community Manager, review monthly inspection checklist, and discuss liability issues and cost‑saving ideas
  • Hold a monthly safety and training meeting to update staff on regulations, gather feedback, and discuss cost control
  • Develop calendar for breezeway cleans and other non‑daily tasks using the CSR schedule
  • Review make‑ready condition with contractors continuously
Quarterly/Ongoing
  • Oversee quarterly filter change inspects, mold inspections, and issue unit notices about trash, recycling, and HVAC policies
  • Ensure all maintenance staff receive proper training; alert the Community Manager to training needs
