The Facilities Maintenance Manager is responsible for activities related to custodial services, general maintenance, repair, and appearance of assigned facilities. The role works with staff to ensure compliance with local, federal, and state laws, regulations, and organization policies.

Responsibilities
  • Complete routine property inspections to prevent or identify compliance issues with building codes, permits, and regulations.
  • Coordinate or perform repairs and maintenance on commercial building equipment, including plumbing, electrical work, carpentry, and HVAC systems.
  • Suggest efficiency and cost‑reduction ideas and help implement changes within facility maintenance.
  • Establish and maintain preventative maintenance schedules for HVAC, fire protection, electrical, and building systems.
  • Maintain a database of spare parts, supplies, and materials and manage inventory to ensure availability and working condition of equipment.
  • Assist in facilities planning, including physical layout, space allocation, office moves, and coordination with departments and contractors.
  • Manage the property management help desk system, evaluate repair requests, and determine in‑house versus contracted service.
  • Solicit bids from vendors, negotiate pricing and timelines, and secure contracts.
  • Document repair completion, record costs, and notify appropriate parties.
  • Maintain detailed records of repair logs, preventative maintenance schedules, and cost data.
  • Plan, assign, and supervise general custodial and maintenance staff, including preparing work schedules, reviewing leave requests, and conducting performance management.
  • Inspect buildings and facilities for cleanliness, completed work, and needed repairs.
  • Order and inventory stock to ensure supplies and equipment are adequate and functional.
  • Instruct staff on policies, procedures, and proper use of cleaning materials and equipment.
  • Interview and select custodial staff and maintenance technicians, and prepare staffing budgets.
  • Participate in training program planning and coordination.
  • Track resources, leases, contracts, and other relevant items for quality assurance.
  • Manage the purchase order and expense reporting system, including receipts, invoices, and vendor communication.
Measurable Deliverables
  • Complete quarterly inspections of all First Day controlled properties and others as assigned.
  • Perform quarterly checks of preventative maintenance logs.
Other Responsibilities
  • Assist in the development of facilities maintenance budgets, including technical and cost/benefit justification.
  • Participate in the design, coordination, and management of construction projects as needed.
  • Attend and conduct meetings that improve the maintenance of First Day facilities.
  • Represent the Property and Construction Management Department on maintenance matters with other departments.
  • Perform other job duties as assigned by the VP of Property and Construction Management or Executive Leadership.
Qualifications
  • High school diploma or related field experience preferred.
  • Valid driver’s license, good driving record, and work eligibility in the United States.
  • Pass all required background checks.
  • Experience with facility maintenance, inspection, and custodial services.
  • Strong knowledge of building equipment repair (plumbing, electrical, HVAC, carpentry).
  • Familiarity with OSHA and other safety regulations.
  • Advanced computer skills (Word, Outlook, Excel).
  • Experience with fleet or asset tracking software.
  • Ability to handle complex tasks requiring independent judgment and prioritize within strict guidelines.
  • Strong attention to detail, customer service, and interpersonal skills.
  • Flexibility to work outside normal business hours and travel up to 40% for site visits and training.
  • Understanding of finance and accounting principles.
