Maintenance Coordinator

Summary

The Maintenance Coordinator is responsible for planning and coordinating preventive maintenance activities, managing spare parts and MRO inventory, overseeing the equipment technician team, and supporting maintenance operations to ensure continuous manufacturing performance. This role develops and maintains preventive maintenance schedules, plans and assigns maintenance work orders, manages inventory forecasting and replenishment, coordinates maintenance vendors, contractors, and logistics, and supports departmental budget tracking.

The position partners closely with Maintenance, Production, Engineering, and Purchasing teams to align maintenance planning, parts availability, and equipment reliability with production schedules.

• Develop, maintain, and optimize preventive maintenance (PM) schedules for production and facility equipment within the CMMS
• Plan and prepare maintenance work orders, including task steps, labor estimates, required parts, tools, and safety requirements
• Coordinate PM scheduling with Production to minimize disruption to manufacturing operations and align with planned downtime windows
• Partner with Maintenance and Engineering to review equipment history and adjust PM frequencies, tasks, and strategies based on reliability data
• Support execution of scheduled maintenance activities and associated safety measures
• Manage and maintain spare parts and MRO inventory to support preventive and corrective maintenance activities
• Register, catalog, and maintain spare parts records within applicable systems
• Analyze inventory levels, consumption trends, and equipment demand to determine replenishment needs and reorder points
• Coordinate with Maintenance and Engineering to identify critical spare parts and ensure availability of high-risk and long-lead components
• Develop and execute inventory planning strategies that maintain proper stock levels while minimizing excess and obsolete inventory
• Conduct and oversee cycle counts and physical inventory activities; investigate discrepancies, perform root cause analysis, and implement corrective actions
• Create and manage purchase requisitions and coordinate with Purchasing to ensure timely ordering of spare parts and materials
• Monitor open orders, delivery timelines, and supplier performance to prevent maintenance and production disruptions
• Coordinate maintenance-related logistics, including import and receiving activities
• Research and identify external contractors for maintenance and facility construction projects
• Coordinate OEM and field personnel requirements, including site access registration and safety training applications
• Maintain equipment records, asset hierarchies, and maintenance documentation within CMMS and related systems
• Maintain accurate inventory and transaction records within ERP, CMMS, MES, EMS, FDC, and related systems
• Monitor and report equipment downtime status, PM completion rates, schedule compliance, and backlog; elevate constraints to Maintenance leadership
• Track and report key maintenance and inventory KPIs, including PM compliance, inventory accuracy, usage trends, and parts availability
• Prepare and communicate weekly, monthly, and periodic equipment status, maintenance planning, and inventory reports
• Support maintenance and facilities budget planning, tracking, and cost management
• Support tracking of costs and personnel requirements related to facility customer service (CS) activities
• Oversee the equipment technician team, including work assignment, daily direction, and coordination of maintenance activities
• Monitor technician workload, work order completion, and schedule adherence, and adjust assignments to meet production and maintenance priorities
• Support technician onboarding, training coordination, and skill development in partnership with Maintenance leadership
• Coordinate technician coverage for planned maintenance, shutdowns, and unplanned equipment events
• Escalate performance, staffing, and resource concerns to Maintenance leadership
• Identify opportunities to improve maintenance planning, inventory efficiency, cost, and material flow
• Support cross-functional communication with internal teams and global partners regarding equipment, parts, and maintenance requirements
• Ensure all activities are performed in compliance with safety, quality, and operational standards
