Overview
Zurich North America is hiring an Executive Assistant I to join our Compliance Program Office team! We are open to hiring talent at our Zurich North American office in Schaumburg, IL. In this role you will perform several basic administrative routines such as travel arrangements, calendar management, mail distribution, and responding to basic inquiries. This role typically operates without direct supervision, however, there is a supervisor to whom non‑routine inquiries and questions can be referred, and the individual is held responsible for process‑driven and basic administrative end‑to‑end functions.
Responsibilities- Represent management and resolve issues on the executive’s behalf.
- Interact with customers and associates in person, by phone and by e‑mail efficiently, promptly, and accurately. Provide regular updates for executive, customers and office staff as required.
- Compose routine correspondence, memos, and reports.
- Maintain current, accurate and easily accessible files and department data.
- Prepare presentation materials and assist executive with presentation arrangements.
- Develop worksheets, prepare correspondence, and develop presentations using computer technology.
- Administer programs, projects and/or processes specific to the operating unit served.
- Organize meetings, including scheduling, sending reminders, and organizing catering when necessary.
- Perform minor accounting duties such as processing expense reports and payments.
- Welcome visitors and identify the purpose of visit before directing visitor to the appropriate department.
- Provide administrative assistance, such as writing and editing e‑mails, drafting memos, and preparing communications on the management’s behalf.
- Interact with vendors in person, on the phone, or in e‑mail.
- Prepare, execute, and monitor travel arrangements.
- Provide an overview of event planning and budgets.
- Bachelor’s Degree and no prior experience required in the Administrative area
- Associate Degree and no prior experience required in the Administrative area
- High School Diploma or Equivalent and 3 or more years of experience in the Administrative area
- Experience with Microsoft Office
- Experience planning, organizing, and scheduling work
- Knowledge of company operations, organizational procedures
- Administrative experience in a multi‑tasked, high‑paced, confidential environment
- Ability to prioritize
- Ability to multi‑task
- Strong verbal and written communication skills
Hourly rate: $26.20 - $42.88. Short‑term incentive bonus eligibility set at 5%.
