Compliance Services Specialist

Job Overview

The Compliance Services Specialist I manages various transactional processes in the Compliance services team, including new vehicle paperwork and registration renewals. The Specialist cultivates relationships with DMVs and trusted vendors, operates within internal and external systems, and maintains detailed tracking to ensure fleet vehicles are legally registered and licensed.

• Print title, registration, and tax documents based on owner, state, and client or vehicle instructions; assign ownership to ensure compliance with state and county statutes.
• Identify, analyze, and resolve state, county, and provincial license and title rejections or questions.
• Create, update, and adjust print positions on a form through Forms Definition Order and duplicate MSO’s through the manufacturer website, following up until receipt.
• Process registration renewals using electronic transfer, online terminal, or mail for each jurisdiction; achieve department performance standards for accuracy and timeliness.
• Verify registration and service fees, ensure accurate billing, and reconcile discrepancies using Wheels’ databases and vendor reports.
• Maintain vehicle legality for client use by determining best methods; contact drivers or clients regarding jurisdictional requirements such as emissions checks or outstanding violations.
• Coordinate with other departments to fulfill missing or late requirements.

• Speak and write clearly, confidently, and succinctly in communications with dealers, tag agencies, government agencies, and clients.
• Strong customer‑service skills with diplomacy and tact, capable of interacting with internal and external customers.
• Multi‑task in a fast‑paced environment; prioritize tasks and maintain high levels of organization.
• High attention to detail to ensure accuracy and audit invoicing; follow up and solve problems efficiently.
• Perform basic math functions for complex tax documents; proficient with Microsoft Windows, Office suite, and web‑based systems.
• Negotiate cost and pricing with vendors; self‑motivated, collaborative, and demonstrate leadership qualities.

• High school diploma or GED required.
• Minimum two years of prior office or customer‑service experience.
• Experience using Salesforce request‑management system to engage and respond to client/driver requests.

Base salary range: $37,500 – $52,500. Eligible for the annual incentive plan based on company and individual performance. Wheels offers a robust, market‑leading benefits package including health, wellness, and other competitive offerings.
