Administrative Coordinator
Location:
Schaumburg, IL (Onsite)
Schedule:
Monday-Friday, 8:00 AM - 5:00 PM
We are looking for a detail-oriented Administrative Coordinator to support and maintain our network of vendor accounts. In this role, you will contact vendors by phone and email, collect and update important business information, and ensure records are accurate and complete.
This is a great opportunity for someone with administrative, customer service, account support, or office experience who enjoys building professional relationships and working in a fast-paced environment.
What You'll Do- Contact vendors to request and collect required documentation
- Update vendor account information, including contact details and tax forms (W-9s)
- Review documents for accuracy and completeness
- Process vendor account updates and change requests
- Track and maintain records of completed requests and projects
- Follow up with vendors to resolve missing or incomplete information
- Provide status updates and progress reports as needed
- Ensure all work is completed accurately and professionally
- Use internal systems and Microsoft Office to manage information (training provided)
- Spend about half of your day making outbound calls to vendors
- Follow up on requests for documents and account information
- Review and update vendor records
- Enter and track data in company systems
- Work closely with team members to ensure vendor information remains current and accurate
- High School Diploma or GED
- 1+ year of office, administrative, customer service, or account support experience
- Basic to intermediate Microsoft Office skills (Outlook, Word, Excel)
- Strong communication and customer service skills
- Strong attention to detail
- Ability to manage multiple tasks and priorities
- Excellent follow-up and organizational skills
- Comfortable making outbound phone calls
- Ability to work independently and as part of a team

This is a Permanent position based out of Schaumburg, IL.
Pay and Benefits
The pay range for this position is $21.63 - $22.83/hr.
