Senior Administrative Assistant – Supporting CEO & President

Work Schedule:

40 hours/week | Hybrid – approximately 2 days in office and 3 days remote after initial training

Job Description:

We are seeking a Senior Administrative Assistant to provide high-level administrative support directly to the CEO and President. This individual will play an important role in keeping executive priorities organized and ensuring meetings, schedules, communications, and follow-up are handled seamlessly.

The ideal candidate is highly proactive, detail-oriented, and confident working with senior-level executives. This is a role where anticipating needs, thinking ahead, and taking ownership are essential.

You will also have the opportunity to support board and committee activities and contribute to process improvements as the organization's executive support team continues to evolve.

Key Responsibilities:
  • Provide direct administrative support to the CEO and President, helping manage their day-to-day priorities and administrative needs
  • Own and coordinate complex executive calendars, including scheduling meetings, managing conflicts, and coordinating with internal and external stakeholders
  • Plan and organize executive meetings, including preparing agendas, materials, meeting notes, and follow-up items
  • Assist with domestic and occasional international travel arrangements, itineraries, and related logistics
  • Manage and submit executive expense reports using Concur
  • Support the CEO and President with special projects and administrative initiatives
  • Assist with improving administrative processes and creating efficiencies across the executive support function
  • Coordinate logistics for Board, Finance Committee, and volunteer committee meetings
  • Provide administrative support surrounding Board meetings and assist with communication and follow-up
  • Attend meetings, capture key information and action items, and proactively ensure appropriate follow-through
  • Utilize  extensively to organize projects, monitor deadlines, track action items, and manage workflows
  • Maintain member and stakeholder information through Salesforce/Nimble
  • Create and update presentations, spreadsheets, correspondence, and other executive materials using the Microsoft Office Suite
  • Collaborate regularly with executives, board members, volunteers, and internal teams
Qualifications:
  • 5+ years of executive administrative support experience
  • Experience supporting VP-level or C-suite executives; C-suite experience strongly preferred
  • Previous nonprofit or professional association experience is a plus
  • Bachelor's degree preferred
  • Strong proficiency with Microsoft Office Suite, including intermediate to advanced Excel
  • Experience with Salesforce/Nimble, Concur, and/or  is highly desirable
  • Exceptional attention to detail and organizational skills
  • Strong written and verbal communication abilities
  • Ability to handle confidential and sensitive information with discretion
