Position: Corporate Fleet Manager Assistant (Non-union/Hourly)
Department: Fleet
Reports To: Fleet Manager
Location: Edwardsville, IL
FLSA Status: Non-Exempt
Pay Range and Benefits: $ per hour plus other compensation components. Benefits include Medical, Dental, Vision, STD, Thrift, Life Insurance.
Shift (if applicable): Weekdays, regular office hours
Position OverviewThe Corporate Fleet Manager Assistant shall be responsible for, but not limited to, the following.
Key Responsibilities- Bills of sale — preparing and receiving (distributing copies/checks) to accounting.
- Handling Illinois license plates: IRP plates (applying for new and renewals), trailer plates (new/renewals), Illinois plates (new/renewals), requests for replacement plates.
- Handling titles: applying for new titles, filling out bills of sale, sending to locations to retitle, receiving and documenting.
- Handling IFTA licenses and/or stickers.
- Entering maintenance into database and handling fleet charges (maintaining spreadsheet, past dues paid).
- Handling vehicle transfers; assign unit numbers to all company vehicles; handling toll and driving violations.
- Send out new company car paperwork; scanning documents; updating information in AS400.
- Handling lease buyouts (making changes in AS400, titles, scanning).
- Answer emails and phone calls with vehicle questions or needs from locations and/or accounting department.
- Converting lease packages; handling recall notices.
- Exporting vehicle information from AS400 to Excel for reports for locations or in-house.
- Managing Goodyear and Michelin statements.
- Other duties as assigned related to fleet management.
- Prior experience with DOT/vehicle registrations.
- Basic math and reading skills.
- Proficient in Microsoft Office Suites; highly proficient with Excel.
- Ability to work well with various databases and have good phone etiquette.
- Strong computer and organizational skills.
- Ability to work without direct supervision.
- Excellent verbal communication skills; leadership, interpersonal, and conflict resolution abilities.
- Coachable, willing to learn; ability to communicate effectively both verbally and in writing.
- Multitasking and ability to work cross-functionally.
- Analytical skills for data interpretation.
- Strong communication skills for collaborating with various locations and personnel.
- May require sitting and standing for long periods.
- May require lifting and moving large amounts of paperwork (boxes of files).
- May require stooping, bending, and reaching above the head and below the knees to file and retrieve data.
