Maintenance Supervisor
The Maintenance Supervisor has primary responsibility for the physical integrity of each community and proper maintenance and oversight. The majority of the role involves scheduling work orders, preparing new apartments for occupancy, and completing ongoing maintenance projects.
Responsibilities- Provide excellent service to residents, guests, employees and contractors.
- Oversee the maintenance staff for the community.
- Provide training to all maintenance staff members.
- Schedule work orders.
- Maintain the community effectively while following budget guidelines.
- Oversee completion of routine service requests within 24 hours.
- Complete service request records and inform the Community Manager of any resident maintenance issues.
- Develop maintenance and cleaning schedules for all areas, including common areas, amenities, breezeways, parking lots and entrance areas.
- Keep maintenance shop organized and clean.
- Purchase all maintenance supplies in accordance with budget guidelines.
- Adhere to all government policies including OSHA and EPA guidelines.
- Review work with all outside contractors prior to completion.
- Maintain operations and response plans for issues such as asbestos, lead, and mold.
- Daily Community Manager Meetings: review maintenance issues and make‑ready status.
- Common area inspections: walk common areas daily before 10 am.
- Grounds inspection on peak days (i.e., Mondays).
- Maintenance staff meetings and staff coverage scheduling.
- Make‑Ready preparation and board updates.
- Work‑order scheduling and 24‑hour response policy.
- Move‑outs: walk all units after inspection to determine touch‑ups.
- Key log check daily.
- On‑call coverage during non‑business hours.
- Breezeway cleanliness enforcement.
- Maintain MSDS/OSHA/EPA logs.
- Community Service Register updates.
- Irrigation checks weekly.
- Trash compactor oversight.
- Overtime review.
- Maintenance inventory checks and ordering supplies.
- Common area maintenance on weekends and Saturdays.
- Pool maintenance weekly.
- Car check: walk entire property monthly.
- Required inspections as detailed in the CSR.
- Landscape coordination and irrigation checks.
- Monthly inspection with Community Manager.
- Monthly safety/training meetings.
- Develop calendar for breezeway cleans and other non‑daily tasks.
- Ongoing make‑ready review with contractors.
- Quarterly unit inspections and filter changes.
- Training and certification updates for maintenance staff.
- ADA policy updates.
- Warranty management.
- Emergency vendor list maintenance.
- Equipment inventory verification and reporting.
- Unit inspection prior to move‑out, 90 days before move‑in.
- Vendor coordination during move‑in/out processes.
- Move‑in status review within 15 days of move‑in.
- Post‑move‑in unit inspections and follow‑up maintenance.
- Budget planning for capital projects and review with Community Manager.
- Working knowledge of electric, plumbing, HVAC, and basic construction.
- Ability to read, analyze, and interpret technical procedures and regulations.
- Strong written and verbal communication skills.
- Customer service orientation.
- Leadership, management, and training abilities.
- Organized, detail‑oriented, and decisive.
- Effective time management and ability to handle pressure.
- Confidentiality and integrity.
- Own tools and ability to lift and climb.
- Availability for weekend or overtime work as required.
- Associate degree (A.A.) or equivalent from a two‑year college or technical school; or 1–2 years related experience/training.
- 2–3 years general maintenance experience.
- 2–3 years experience in installation, maintenance, troubleshooting, and repair of building mechanical systems (HVAC, plumbing, electrical).
- Basic computer skills for data entry, system programming, and gate access.
- HVAC certification required.
- Walking, standing, climbing, lifting over 10 lbs, reach with hands & arms.
- Occasional kneeling, stooping, talking/ hearing, travel outside the area.
- Direct supervision of maintenance staff.
- Decision‑making in hiring, disciplinary actions, work planning, training, and employee performance.
