HVAC Tech / Heating Engineer
The Retail HVAC Coordinator (RHFC) is responsible for ensuring that the retail store locations’ HVACs are maintained in a condition that represents our brand positively to both our team members and customers, ensuring the facilities are safe and secure, and that HVAC units comply with lease agreements and governmental regulations while using resources efficiently.
The HVAC Project Coordinator will manage day‑to‑day tasks, addressing HVAC break/fix repairs, emergencies and replacements within retail stores, and oversee all aspects of assigned capital expense improvement projects. They will be accountable for overall HVAC planning and time management, receiving repair requests via phone, email, and the Maintenance and Repair System (MARS).
Essential Job Functions- Respond to HVAC service requests, repairs, replacements, and preventive maintenance.
- Initiate, oversee, and execute facility HVAC repairs cost‑effectively and timely.
- Collaborate with the Energy Management Team to identify and resolve outages efficiently.
- Provide cost analysis per project, define scope, and manage communication with internal and external stakeholders.
- Plan and coordinate repairs and capital expense projects, controlling costs.
- Maintain and implement preventive maintenance programs for HVAC sustainment.
- Handle and process service requests through MARS, reviewing leases, warranties, and delegating to the appropriate party.
- In cases where the company is responsible, review requests, establish scope, procure contractors, and oversee vendor selection through MARS.
- Generate work orders, set price limits, submit and release work.
- Quote, review, and approve projects requiring additional investigation, using bid forms and attached quotes.
- Perform project closeout, verify completion in MARS, review invoices, and code special notes.
- Use MARS dashboard and reporting to track oversight and communication throughout processes.
- Apply knowledge of facility ownership, lease details, city codes, and contractual responsibilities.
- Interface with departments, jurisdictions, contractors, and field operations to manage expenditures.
- Prioritize, organize, and manage time, adapting to changing workloads while maintaining records.
- Obtain quotes, secure contractor documents, invoice management, follow up, review completion, and monitor contractor performance.
- Process all MARS requests including service request, work order, purchase order, and invoice approval/processing.
- Perform additional duties as assigned.
- Required:
- High school diploma or equivalent.
- 2‑4 years of construction, maintenance, HVAC, emergency management, electrical, or related trades experience.
- Good people skills.
- Ability to multi‑task and demonstrate dependability and reliability.
- Basic computer skills (Word, Excel, Email, Internet, database systems).
- Desired:
- Building Controls/Automation experience.
- HVAC certification.
- 4+ years of construction, maintenance, HVAC, electrical, or related field experience.
