Essential Job Functions
The Retail Facilities Coordinator (RFC) is responsible for ensuring that retail store locations are maintained in a condition that represents our brand positively to both team members and customers. The RFC maintains the facilities in a safe and secure environment, ensuring compliance with lease agreements, governmental rules, and regulations through efficient use of resources.
Day‑to‑day responsibilities include addressing routine break/fix repairs, emergencies, and city violations that arise within retail stores. Repair requests are received via phone calls, e‑mail, and the Maintenance and Repair System (MARS) in a first‑come, first‑served queue.
The RFC oversees all routine break/fix repairs and submits larger repairs or replacements to the Senior Coordinator queue. The RFC initiates, oversees, and executes facility maintenance in a cost‑effective, timely manner, providing cost estimates, defining scopes of work, and ensuring clear internal and external communication.
Asset protection and facility sustainment are accomplished through preventative maintenance programs, including both temporary and permanent repairs. The RFC fields repair requests via email, phone, or MARS, determines repair responsibility based on leases, exhibits, and warranty timelines, and delegates to the appropriate party.
When O’Reilly is responsible for repairs, the RFC reviews each request, establishes scope, and procures contractors or trades. Service requests are processed or forwarded as needed. Work orders are generated for approved vendors with outlined scope, completion dates, and ‘Not To Exceed’ pricing.
Complex investigations or in‑depth evaluations are submitted to the Senior Coordinator queue. The RFC verifies completion within MARS and oversees communication throughout the process using the MARS dashboard and query reporting.
Key skill areas include knowledge of facility ownership, lease duration, tenant/owner responsibility, and city codes. The RFC interfaces with other departments, jurisdictions, contractors, and field operations to ensure repairs are completed and maintained.
RFCs must communicate, prioritize, organize, and manage their time, adapt to changing workloads, multitask, and keep accurate records to meet all needs. Quality assurance practices include following up, completing reviews, and monitoring contractor performance.

Skills / Education / Knowledge / Experience / Abilities RequiredHigh school diploma with 2–4 years of construction, maintenance, HVAC, electrical, or related trades experience. Good people skills, excellent customer service, and the ability to multi‑task with proven dependability and reliability. Basic computer knowledge, including Word, Excel, e‑mail, Internet, and database systems.
DesiredHigh school diploma with 3–5 years of construction, maintenance, HVAC, electrical, or related field experience.
