Position Summary

The Facilities Specialist is responsible for maintaining the physical facility, utilities, and building systems to ensure safe, reliable, and uninterrupted pharmacy operations. This role focuses on day-to-day maintenance, preventative maintenance execution, troubleshooting, and coordination of external service providers. The Facilities Specialist supports Quality and Operations by ensuring facilities and systems remain functional and inspection-ready, without owning regulatory decisions, monitoring programs, or acceptance activities.

Responsibilities
  • Troubleshooting and Repairs
    • Promptly identify, troubleshoot, and resolve facility, utility, and equipment issues within defined scope to minimize operational disruptions.
    • Coordinate corrective repairs with approved external vendors when required and ensure issues are escalated appropriately when they may impact operations, safety, or compliance.
  • Facility, Utility and Building Systems Maintenance
    • Maintain the physical facility, utilities, and building systems (including HVAC, electrical, plumbing, and water systems) to support safe, reliable, and uninterrupted pharmacy operations.
    • Monitor system functionality and escalate performance issues that require vendor or management intervention.
  • Preventative Maintenance Execution and Vendor Coordination
    • Execute assigned preventative maintenance activities in accordance with approved schedules and SOPs.
    • Ensure maintenance tasks are completed on time, documented accurately, and communicated to appropriate stakeholders.
  • Vendor Coordination and Services Support
    • Coordinate external vendors performing facility maintenance, repairs, and cleanroom-related services, including cleanroom certifications.
    • Manage scheduling, site access, vendor escorts, and logistical support. Receive service documentation and route records to Quality for review, approval, and disposition.
  • Documentation and Record-Keeping
    • Maintain accurate, complete, and organized facility-related records, including maintenance logs, service reports, work orders, and vendor documentation.
    • Support inspections and audits by retrieving facility documentation and providing factual, non-interpretive information as requested.
Experience and Qualifications
  • Experience in facility maintenance, equipment upkeep, or a regulated manufacturing environment (cGMP, pharmacy, etc.).
  • Understanding of cleanroom operations and basic HVAC/TCU principles is a plus.
