A well-established automotive dealership in the south suburbs of Chicago is looking for a highly organized, detail-driven Executive Assistant to support the Dealer Principal and leadership team.

The RoleYou'll split your time between two areas:
Executive Support (approximately 40%)
- Manage the owner's calendar, travel arrangements, and daily schedule
- Coordinate events, meetings, and off-site engagements
- Prepare documents, reports, and presentations
- Handle correspondence and communication on behalf of leadership
- Serve as a gatekeeper and problem-solver for the executive office
Operations & Special Projects (approximately 60%)
- Track and secure factory incentive programs to ensure the dealership collects every dollar earned
- Monitor program requirements, deadlines, and compliance across departments
- Identify and recover missed incentives or money owed by the manufacturer
- Coordinate with department managers to hit targets and maintain standards
- Track training completions and certifications for sales and service staff
- Build and maintain tracking systems to ensure nothing falls through the cracks
- Take on special projects and initiatives as assigned by leadership
- Manage ordering of company apparel and promotional giveaways
- 2+ years experience in an administrative, executive support, or operations role
- Strong proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook)
- Excellent organizational skills with sharp attention to detail
- Ability to manage multiple priorities and meet deadlines consistently
- Clear, professional communication skills (written and verbal)
- Comfortable working independently and holding others accountable
- Experience using AI tools (ChatGPT, Claude, Copilot, etc.) to improve productivity and solve problems
- Genuine interest in learning new technologies and systems quickly
- Experience with incentive programs, compliance tracking, or vendor/manufacturer relationships
- Experience coordinating travel and events

- Salary range: $65,000 – $68,500 based on experience
